HOA Admin Manager

Duties and Responsibilities

· Answer direct calls and provide basic company information

· Complete concierge requests for owners, owner guests and renters

· Perform clerical duties, maintain files, and organize documents

· Assist in planning meetings and special projects

· Help prepare reports, presentations, and data

· Maintain accurate and timely data in RentPro software

· Coordinate rental reservations, collect payments

· Meet and greet rental guests

· Type documents, drafts, and reports

· Arrange daily schedules for housekeeping and concierge

· Complete unit setup and inspection for rentals and owner arrivals

· Develop relationships with owners, renters and vendors

· Prepare information and research for executive needs

· Oversee daily mail and package deliveries

· Maintain inventory and purchase office, rental and cleaning supplies as needed

· Set up, break down, organize, and maintain conference room

· Perform regular rental unit inventory

· Maintain clean and organized work environment

· Assist accounting, facilities, housekeeping departments as needed

Office Assistant Requirements and Qualifications

· High school diploma or equivalent; associate's or bachelor's degree preferred

· Prior experience handling office responsibilities, experience in customer service, or related field

· Proficient computer skills, including Microsoft Office (Word, Excel, Outlook)

· Excellent written and verbal communication skills

· Highly organized multitasker who works well in a fast-paced environment

· Able to lift 30 lbs

· Valid drivers license

· Safe driving record
