Overview
We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, supporting team members, and maintaining efficient office workflows. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for delivering exceptional customer service. As an Office Administrator, you will be the backbone of daily operations, fostering a professional and welcoming atmosphere that promotes productivity and teamwork.
Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle all clerical duties including data entry, filing, proofreading, and maintaining accurate records using Microsoft Office and Google Workspace tools
- Manage calendar appointments, schedule meetings, and coordinate events to optimize team productivity
- Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial record-keeping
- Assist with office management tasks such as ordering supplies, organizing files, and maintaining office equipment
- Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email
- Perform general administrative duties including typing correspondence, managing incoming/outgoing mail, and supporting personal assistant tasks as needed
- Taking in and processing payments for customers
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Strong communication skills with good phone etiquette; bilingual abilities are a plus
- Previous experience working at a front desk or as a receptionist in
- Demonstrated computer literacy with attention to detail in proofreading and data entry tasks
- Ability to handle multiple responsibilities simultaneously while maintaining professionalism and positive attitude
