Project Administrator

StaffBuffalo is working with an established construction and contracting organization to hire a Project Administrator, with a target salary around $55,000 and flexibility up to approximately $65,000 for an exceptional candidate. This role supports the day-to-day administration and documentation that keep active projects organized and moving on schedule.

Reporting to the Director of Project Management, the Project Administrator will partner closely with project managers, vendors, subcontractors, and leadership. The role includes managing contracts and project documentation, processing submittals and RFIs, coordinating meetings, tracking project information, and supporting budgeting and reporting.

A key part of this position is reading through contracts, advising on markups, and helping implement contract changes. Construction or contracting experience is preferred, and experience with Procore and BuildOps would be a plus.

Responsibilities:

• Manage daily project administrative functions, project documentation, contracts, and key paperwork in coordination with project managers.
• Read through contracts, advise on markups, implement contract changes, and elevate matters requiring immediate management attention.
• Process submittals, RFIs, and other job-related correspondence in a timely manner to help projects stay on schedule.
• Coordinate and administer project meetings, including preparing and issuing meeting minutes.
• Collect and analyze project data, report on outcomes, and assist Project Managers with budgeting and regular reporting.
• Work with vendors and subcontractors to compile and process critical paperwork, while overseeing contractor work and reporting variations.
• Provide daily support to the project team as directed by management.

Qualifications:

• Experience in the construction or contracting industry preferred.
• Experience with Procore construction management software is a plus, and BuildOps experience is also a plus.
• Advanced computer literacy, including Microsoft Office Suite.
• Strong written and verbal communication skills.
• Ability to multitask while managing shifting project priorities.
• Solid organization and time-management skills.
