Special Events TAR

Role Description

The Special Events TAR position will support a small portfolio of events. This role is responsible for coordinating event logistics, developing communication materials, and handling other event-related needs. On-site staffing is not required for this position. The position will report to the Executive Director of Advancement Event Initiatives. The term of the position is August 5 through November 1, 2026.

Essential Functions

• Event Planning & Execution
  • Develop and manage event program flow.
  • Coordinate vendors and oversee all event logistics.
  • Ensure successful execution of events from planning through completion.
• Marketing & Communications
  • Oversee production of publications and event-related collateral materials.
  • Coordinate mailing lists and manage event marketing and promotional communications.
  • Ensure consistent messaging and branding across event materials.
• Leadership & Speaker Support
  • Write briefing materials for speakers and institutional leadership.
  • Coordinate speaker logistics and support leadership participation in events.
  • Prepare event schedules and talking points to ensure seamless presentations.
• Event Administration & Project Coordination
  • Manage project timelines and coordinate deliverables across event planning activities.
  • Monitor progress of publications, marketing, vendor coordination, and program development to ensure deadlines are met.
  • Collaborate with internal stakeholders to align event planning efforts and resolve logistical issues.
• Other duties as assigned.

Qualifications

• Bachelor's degree and 5 years of relevant experience required.
• Or equivalent combination of education and experience.

Requirements

• Outstanding written, verbal, and interpersonal skills preferred.
• Strong leadership skills and ability to work independently preferred.
• Ability to manage large projects; to gather, condense and synthesize information, and ability to provide accurate analysis and summaries preferred.
• Experience with computer technologies, especially Microsoft Excel preferred.
• A personal belief in mission, goals and objectives of private higher education preferred.
