About the Role

Alley Pond Golf Center is seeking an organized, dependable Restaurant Purchasing & Inventory Coordinator to manage purchasing and inventory for our restaurant and kitchen.

This role primarily focuses on food ingredients, beverages, kitchen supplies, disposable products, and cleaning supplies. The ideal candidate understands restaurant purchasing needs, is familiar with ingredient pricing and supplier options, and can keep essential items available while controlling costs and minimizing waste.

You will work closely with the kitchen and restaurant teams to monitor stock, anticipate upcoming needs, and arrange timely replenishment. This position requires someone who takes initiative and plans ahead rather than waiting until supplies run out.

Most purchases are made through vendors, wholesalers, online ordering, and scheduled deliveries. Occasional local shopping and supplier pickups are also required.

Key Responsibilities

Restaurant Purchasing and Cost Control

• Manage daily purchasing of food ingredients and restaurant supplies, including meat, poultry, seafood, produce, dairy, dry goods, cooking oils, sauces, and seasonings.
• Purchase beverages, takeout packaging, disposable products, cleaning supplies, and other kitchen and dining room essentials.
• Understand frequently purchased items, their specifications, pack sizes, and typical prices.
• Compare supplier prices using consistent units, taking into account product quality, usable quantity, freshness, delivery fees, and minimum order requirements.
• Monitor price changes and identify opportunities to reduce costs without compromising food quality or service.
• Communicate with suppliers about pricing, availability, delivery schedules, shortages, and returns.
• Confirm substitutions with the kitchen or requesting manager before ordering.
• Maintain reliable supplier relationships and identify backup sources for essential items.
• Keep accurate purchase orders, receipts, invoices, and purchasing records.

Inventory Management and Timely Replenishment

• Regularly check inventory in refrigerators, freezers, dry storage, and restaurant supply areas.
• Establish and maintain appropriate stock levels and reorder points based on usage, supplier lead times, and storage capacity.
• Proactively replenish items before they run out, especially ingredients and supplies essential to daily service.
• Coordinate with kitchen and restaurant managers to anticipate needs for busy periods, menu changes, private parties, and group events.
• Maintain an organized ordering schedule and follow up to ensure deliveries arrive when needed.
• Balance stock availability with freshness and shelf life to avoid excessive inventory, spoilage, and unnecessary spending.
• Help maintain clear labeling, organized storage, and proper stock rotation, prioritizing items approaching expiration.
• Conduct regular inventory counts, update records, and investigate discrepancies.
• Track recurring shortages, waste, and unusual usage, and report concerns to management.

Receiving and Order Follow-Up

• Check deliveries against purchase orders and invoices for correct items, quantities, and prices.
• Inspect incoming products for freshness, condition, expiration dates, and appropriate delivery temperatures where applicable.
• Coordinate prompt storage of refrigerated, frozen, and other perishable products.
• Resolve missing items, incorrect deliveries, damaged goods, and billing discrepancies with suppliers.
• Follow up on delayed orders and arrange approved alternatives when necessary.
• Track returns, credits, and replacements through completion.

Team Coordination and Local Purchasing

• Communicate daily with kitchen and restaurant staff about stock levels, ingredient needs, and purchasing priorities.
• Confirm product specifications, quantities, and required delivery dates before placing orders.
• Keep staff informed of shortages, substitutions, delays, and expected arrival times.
• Visit local supermarkets, wholesalers, and restaurant supply stores for urgent purchases or scheduled pickups when needed.
• Assist with receiving, moving, and organizing purchased supplies as reasonably required.
• Support occasional purchasing of office or other operational supplies as assigned.

Required Qualifications

• Relevant experience in restaurant purchasing, food inventory management, or restaurant operations with direct ordering and stock-control responsibilities.
• Familiarity with common restaurant ingredients, food categories, purchasing units, and pricing.
• Ability to assess supplier pricing and product value while considering quality, freshness, and delivery reliability.
• Strong organizational skills and the ability to keep storage areas, inventory records, and purchasing schedules well managed.
• Ability to anticipate needs and arrange timely replenishment with minimal supervision.
• Understanding of perishable inventory, expiration dates, stock rotation, and basic food storage practices.
• Strong attention to detail when checking orders, quantities, invoices, and deliveries.
• Ability to manage multiple vendors, purchasing requests, and urgent priorities.
• Clear communication skills and the ability to work effectively with kitchen staff, management, and suppliers.
• Comfortable using email, spreadsheets, and purchasing
