Working within a small to medium team, this role focuses largely on scheduling and appointment setting, with communication primarily handled via phone and email. The position requires strong teamwork and effective data management to support account administration and gather valuable customer feedback.

 

Customer Service & Appointment Coordinator

Bear Windows is looking for a highly organized, extremely responsive Customer Service & Appointment Coordinator to join our team.

This is NOT a typical receptionist position.

This is a high-energy, multi-tasking role where your primary responsibility is converting incoming leads into scheduled appointments while delivering an exceptional customer experience.

What You'll Be Doing

• Answering a high volume of incoming phone calls

• Making outbound calls to homeowners who have requested information

• Responding to leads within minutes of submission

• Scheduling appointments for our sales team

• Managing conversations through phone, text, email, and CRM platforms simultaneously

• Following up with leads who have not yet scheduled

• Confirming upcoming appointments

• Updating customer records and notes accurately

• Coordinating with sales representatives and office staff

• Delivering a world-class customer experience on every interaction

What Success Looks Like

The ideal candidate understands that speed matters.

When a lead comes in, you respond immediately.

You can comfortably manage multiple conversations across different platforms while maintaining professionalism, accuracy, and attention to detail.

You are naturally organized, proactive, and able to prioritize tasks in a fast-moving environment.

Requirements

• Exceptional phone communication skills

• Strong typing and computer skills

• Ability to manage multiple software platforms simultaneously

• Experience with CRM systems preferred

• Strong organizational skills and attention to detail

• Ability to remain calm under pressure

• Professional and positive attitude

• Reliable attendance and punctuality

• Customer service, call center, inside sales, or appointment-setting experience preferred
