Department Administrator At Houston Methodist, the Department Administrator is the administrative leader and senior management consultant to the Department Chair. The role generates, manages, and interprets strategic information, provides financial management and accountability for all Department resources, and provides administrative infrastructure for providers, faculty, and staff. Oversight covers the Department’s primary missions of patient care, academic, and research. Key Responsibilities People Directs, develops and implements strategic and operational high‑level projects and processes, through independent or team facilitation. Oversees staff management to meet quality, service, and cost‑effectiveness goals; guides, evaluates, and develops staff. Directs selection, scheduling, supervision, retention, and employee evaluation. Achieves employee engagement metrics such as action readiness score and tier level. Conducts department meetings, performance appraisals, new‑hire feedback, coaching, and recognizes achievement. Builds strategic relationships, drives teamwork and process improvements. Provides leadership through multiple layers of management and senior professional staff. Collaborates with the Chairman and Division Chiefs on faculty recruitment, promotion, credentialing, and practice plan administration. Service Oversees department operations, projects, schedules, and activities to meet objectives within timelines. Sets priorities, functional standards, and provides staff direction to deliver excellent service and patient satisfaction. Leads departmental initiatives that impact patient/customer satisfaction scores. Serves on committees, representing department interests. Leads communication plans to implement and monitor project and process improvements. Quality & Safety Maintains a safe working environment, monitors and revises safety plans, and enforces compliance with accreditation and regulatory guidelines. Improves safety outcomes and information systems, utilizing lean principles and peer accountability. Ensures employee compliance with policies and procedures and takes corrective action for non‑compliance. Leads process improvements for high‑priority, high‑risk, high‑volume activities. Finance Develops and manages departmental operational and capital budgets; monitors cost‑effectiveness. Plans for capital needs and staffing requirements aligned with cost efficiency. Prepares financial reports, conducts analysis, and coordinates corrective action with leadership. Oversees billing and collections, ensuring accurate charge capture and documentation. Growth & Innovation Identifies and implements innovative solutions for practice or workflow changes, leading units or system‑directed projects. Leads change initiatives and adapts to new work structures, processes, and cultural shifts. Maintains career discussions and development plans with staff and management. Drives new procedures, processes, and best practices. Supplemental Requirements Work attire: business professional; no uniform or scrubs. On‑call: Yes; may be required during emergencies. Travel: May require travel within and outside Houston Metropolitan area. FLSA Status Exempt Qualifications Education Master’s degree in business, healthcare, or closely related field. Experience Seven years in health care, finance, or related field with five years management experience, preferably in an academic or medical setting. For Houston Methodist applicants, six years of experience with four years of progressively responsible management experience will be considered. Experience in a physician organization or clinical practice setting. Licenses and Certifications (Preferred) Fellow of American College of Healthcare Executives (ACHE) Skills and Abilities Demonstrates necessary skills and competencies through ongoing assessments. Proficient in speaking, reading, and writing English for patient or employee safety. Communicates confidently and builds trust. Uses interpersonal skills to gain acceptance of ideas or plans. Shows leadership, initiative, and effective communication. Analytical ability to identify issues, compare data, and develop solutions. Extensive knowledge of regulatory and accreditation requirements; stays current. Excellent written communication and presentation skills. Works effectively in fast‑paced environments. Adaptable and flexible. Leads teams, facilitates groups, builds consensus, and garners confidence in senior leadership. Manages competing priorities under pressure; solution oriented. Proficient with spreadsheets, word processing, and presentation software. Maintains a positive, supportive attitude and demeanor.
