Workplace Experience Coordinator - AI Startup

THE GIST:
Our client, an innovative & well-funded AI startup, is seeking a Workplace Experience Coordinator to join their growing team. This position sits at the intersection of People Operations and Workplace Operations, ensuring both internal processes and the physical office environment run smoothly and scale effectively. Youll work cross-functionally with teams such as Engineering, IT, Finance, and Legal, as well as external vendors. The ideal candidates thrives on creating an exceptional employee experience, from onboarding through day-to-day operations.

THE NITTY GRITTY:
Workplace Operations
- Oversee day-to-day office operations, including facilities, supplies, and vendor coordination
- Manage relationships with service providers (e.g., building management, security, IT/AV, catering, furniture)
- Develop and maintain scalable workplace systems and processes
- Track and manage budgets, identifying cost-saving opportunities and efficiency improvements
People Operations
- Maintain accurate employee records and ensure data integrity across HR systems
- Manage employment verification processes (including I-9 compliance)
- Coordinate onboarding logistics, including documentation, system access, and orientation
- Partner with internal teams to deliver a strong new hire experience
- Support offboarding processes and documentation
- Handle sensitive employee data with a high level of confidentiality
- Identify opportunities to streamline and improve workflows, including leveraging automation tools
Employee Experience & Safety
- Support employee engagement initiatives, events, and in-office programming
- Partner on onboarding experiences and team-building efforts
- Maintain workplace safety standards, including emergency preparedness and ergonomic support
- Proactively identify and resolve operational issues to ensure a smooth employee experience
THE ESSENTIALS:
- 2+ years of experience in People Operations, Office Management, Workplace Operations, or similar roles
- Passion for & knowledge of AI tools a plus!
- Experience working at a tech startup and/or high-growth tech company preferred
- Expert project management skills & experience
- Self-starter with the ability to thrive in a high-growth environment
- Adaptable nature and ability to shift priorities as needed
- Strategic & process-oriented mindset
- Superb organizational skills
