Billing And Accounting SpecialistThe Billing and Accounting Specialist is responsible for managing the full-cycle billing process, maintaining accurate financial records, and supporting day-to-day accounting operations. This role plays a critical part in ensuring timely invoicing, collections, accounts receivable and accounts payable management, and accurate financial reporting. The ideal candidate is detail-oriented, organized, and experienced in billing systems and general accounting principles.Key Responsibilities:Billing Operations• Generate, review, and distribute accurate invoices to clients and customers in a timely manner.• Monitor accounts receivable aging reports and follow up on outstanding balances.• Process payments, credits, and adjustments; reconcile billing discrepancies.• Maintain billing records and ensure all transactions are documented in the accounting system.• Communicate with clients and internal teams to resolve billing inquiries and disputes.Accounting & Recordkeeping• Distribute accounting transaction downloads from QuickBooks Online.• Reconcile bank statements, credit card accounts, and balance sheet accounts.• Process accounts payable invoices and ensure timely vendor payments.• Manage AR collections and aging reports.• Maintain organized and audit-ready financial documentation in accordance with company policy.• Review Statements of work and project setup to ensure accuracy.• Maintain reconciliation of all Microsoft funding on client accounts.Compliance & Reporting• Ensure billing and accounting activities comply with applicable regulations and internal controls.• Support internal and external audits by providing documentation and explanations as needed.• Assist with sales tax, use tax, and other regulatory filing reconciliations through Avalara.• Identify process improvements to enhance efficiency in billing and accounting workflows.RequirementsRequired3+ years of experience in billing, accounts receivable, accounts payable, or general accounting.Strong attention to detail and high degree of accuracy in data entry and financial calculations.Solid understanding of basic accounting.Proficiency in Microsoft Excel and other Microsoft Office applications.Effective written and verbal communication skills.PreferredProficiency in accounting software (e.g., QuickBooks, NetSuite, Sage, or similar).Experience with ERP systems and automated billing platforms.Knowledge of revenue recognition standards and financial reporting requirements.Exposure to healthcare, legal, or professional services billing is a plus.Core CompetenciesAccuracy & Attention to Detail — Consistently produces error-free financial work.Organizational Skills — Manages multiple deadlines and priorities effectively.Problem Solving — Investigates and resolves billing discrepancies quickly and professionally.Communication — Clearly conveys financial information to client's executive team.Integrity — Maintains confidentiality and upholds ethical standards in all financial matters.Adaptability — Embraces system upgrades and process changes with a positive approach.Working ConditionsThis position is hybrid, depending on business needs. 1-2 days in the office processing checks. Days and times in the office are flexible. Standard working hours are Monday through Friday, 8:00 AM – 5:00 PM, with occasional flexibility required during month-end close periods or audit cycles.
