Position

Brief Description Of The Role

You are part of the Finance Team, reporting to the Finance Business Partner. You support the administrative, accounting, and organizational activities required to ensure the efficient and smooth running of Atlante’s Spain operations. Your attention to detail, organizational skills, and proactive attitude helps maintain effective administrative processes, accurate documentation, and strong coordination between teams and external partners.

You will contribute to Atlante’s operational efficiency in Spain by ensuring the timely and accurate management of administrative workflows, invoices, expenses, suppliers, and office-related activities.

Your role will be key in maintaining transparent financial records, supporting management in day-to-day operations, and ensuring the smooth execution of logistical, administrative, and office management tasks.

Core Responsibilities

  • Process and record customer and supplier invoices, as well as general company expenses, ensuring accuracy and timely booking.
  • Monitor invoicing and payment cycles, following up to ensure payments are completed on time and discrepancies are resolved promptly.
  • Support the management of accounts receivable and accounts payable processes.
  • Provide day-to-day support to the Accounting and Finance team across administrative and operational tasks.
  • Assist Functional Managers by coordinating and managing administrative processes end-to-end.
  • Support the Top Management in activities including administrative matters, expenses report, agenda, documents signatures and logistics, insurance processes and personal affairs
  • Manage the daily facilities and work environment, ensuring it’s presentable and lending a helping hand where needed, including organizing catering for events and internal parties
  • Act as a reliable point of contact for general office administration and operational support across teams.
  • Support internal and external audits, as well as financial reporting processes.
  • Work with accounting ERP systems (preferably SAP) to maintain accurate financial records

Requirements

  • 6 months to 1 year of experience in an administrative, accounting support, office management, or finance administration role.
  • Bachelor’s degree or equivalent education in Business Administration, Finance, Accounting, Economics, or a related field.
  • Basic understanding of administrative and accounting processes, including invoices, expense reports, purchase orders, and supplier documentation.
  • Strong organizational skills and ability to manage multiple tasks, deadlines, and priorities with accuracy.
  • Attention to detail and a structured approach to documentation and follow-up activities.
  • Good communication and interpersonal skills
  • Proactive, hands-on attitude and willingness to support day-to-day office and administrative needs.
  • Good knowledge of Microsoft Office, especially Excel, Outlook, Word, and PowerPoint.
  • Fluency in English and Spanish
