Recruitment/HR Coordinator (Full-time, Non-Exempt) Why Join Us? Consider joining our people-focused HR team! This role ensures smooth execution of HR processes across the employee lifecycle, with a primary focus on talent acquisition. This position manages full‑cycle recruitment for a wide range of roles—including administrative, curatorial, education, visitor services, facilities, and leadership positions—while delivering an exceptional candidate experience that reflects the museum’s values and commitment to belonging, inclusion, and access for all. Work Schedule & Timekeeping: This full-time role is paid hourly and follows non‑exempt wage and hour guidelines, primarily Monday through Friday (between 8am - 5:30pm). Pay Range: $21- $26.25 per hour ($43,680 - $54,600 annually), based on experience. What You’ll Do Recruitment, Hiring & Onboarding Job Setup & Benchmarking: Update and format job descriptions; verify and assign grade levels and pay ranges; conduct internal and external benchmarking for new roles; and create job postings from finalized JDs. Recruiting Operations & Systems: Create or update positions and requisitions in Paycom; review and update application questions; post roles internally and externally; build email templates; and maintain recruiting and special funding tracking documents. Candidate Management & Hiring Support: Build collaborative working relationships with hiring managers. Review resumes and assess candidate pool quality; may conduct phone screens; may support in using interview scheduling tools; assist with interview questions; and complete reference checks as needed. Offers, Hiring, & Onboarding: Recommend offer terms using benchmarking data; draft and send offer letters; process hires and Personnel Action Forms in Paycom; and send welcome communications with next steps. Seasonal Workforce Support: Assist with recruiting and onboarding seasonal and temporary staff tied to summer camps and larger exhibitions (typically January, February, August, September). HR Administration & Records Initiate employee status changes (hires, promotions, role changes). Prepare HR (employee and volunteer) reports and assist with data needed for recruiting, grants, audits, and leadership reporting. Benefits, Employee Support & Engagement Serve as a first point of contact for employee and volunteer HR inquiries, providing timely and courteous support. Assist with benefits enrollment, changes, and open enrollment communications. Support employee & volunteer engagement initiatives, staff training coordination, and museum‑wide events. Compliance & Policy Support equitable and inclusive HR practices consistent with the museum’s belonging and inclusion commitments. Assist with updating HR policies, employee handbooks, and internal communications. Support labor, grant, or visa compliance documentation as needed. Projects & Continuous Improvement Assist with HR & volunteer projects, system improvements, and process documentation. Represent the museum at local career fairs and recruitment events to build diverse candidate pipelines. What We Require Bachelor’s degree in a related field and a minimum of 2 years of experience in HR, people operations, or administrative support or an equivalent combination of experience and education. Strong organizational skills with high attention to detail. Ability to handle sensitive information with discretion and professionalism. Proficiency in Microsoft Office (Outlook, Word, Excel); comfort learning HR systems. Commitment to working in a mission‑driven, public‑serving environment. Preferred Qualifications Experience working in a museum, nonprofit, cultural, or educational organization. Experience supporting volunteers, interns, and seasonal staff. Familiarity with HRIS and applicant tracking systems. Knowledge of nonprofit HR compliance or grant‑funded staffing. HR certification (e.g., SHRM‑CP, PHR) or interest in pursuing certification. Core Competencies Excellent interpersonal and communication skills. Strong customer‑service mindset with staff, volunteers, and candidates. Ability to manage competing priorities in a dynamic environment. Cultural sensitivity and commitment to belonging and inclusion. Collaborative, proactive, and solution‑oriented approach. Office‑based with regular interaction across museum departments. Occasional evening or weekend availability to support programs or events. Work environment tied to exhibitions, programs, and public engagement.
