Job Overview

We are a patient focused oral surgery practice seeking a self-motivated, professional, confidential, team-oriented administrative leader committed to superior customer service. This full-time position supports and leads the Administrative team while helping coordinate training, scheduling, patient care support, customer service, and administrative workflows across multiple office locations.

Position Title: Administrative Team Lead

Effective Date: 06-01-2026

Classification: Exempt, Regular, “At Will” Work Status

Reports To: Practice Administrator

Working Conditions/Physical Requirements:

· Sitting 80%

· Standing/walking 20%

· Moderate noise levels from Medical and Surgical equipment

· Medical, office, and lab setting

· Exceptional hand dexterity and typing skills to work with standard software programs provided.

· Good Mathematical aptitude to prepare and interpret financial reports, collect, and track payments and account balances, and maintain financial integrity for the practice.

· Near Vision - The ability to see details at close range (within a few feet of the observer) as required for computer data entry and the preparation of treatment plans.

Position Summary: Primary responsibilities are to be a participating team member and the Lead for the Administrative Assistant team members and to develop, implement and coordinate a training program for the practice administrative team.

Essential Functions:

· Train, mentor, and supervise the Administrative Assistant team in all offices.

· Working full-time as a part of the administrative team.

· Prepare and distribute weekly schedule for Administrative Assistant team.

· Develop a training guide for the Administrative Assistant.

· Assist with the development and implementation of administrative policies and procedures.

· Practice Building: Establish and maintain open communication with referring doctors and staff as it relates to coordinating appointments and patient care.

· Implement and facilitate customer service training programs for the administrative team.

· Train and assist with patient financial treatment consultations.

· Communicate with Practice Administrator and evaluate staff training programs and various projects.

· Maintain competency in Practice Administrative Software Programs, including WINOMS, Patient Manager, PBHS referral system and third-party financing programs.

· Maintain good rapport and cooperative relationships. Approach conflict in a constructive manner. Help to identify problems, offer solutions, and participate in their resolution.

· Participate fully with all compliance activities and take responsibility for reporting improprieties to the proper management personnel.

· Provide superior customer service consistent with the mission and values of GROMS.

· Maintain confidentiality of information pertaining to patients, doctors, referring doctors, employees, and visitors to GROMS. Discuss confidential information in the appropriate setting with the appropriate personnel.

· Represent the GROMS practice in accordance with the Mission, Vision, and Values of the practice.

Experience and Education:

· Bachelors or Associates Degree in a related field or equivalent experience.

· Minimum three years’ experience including administrative/managerial background.

Success Factors:

· The individual must be self-motivated, confident, and possess excellent written and oral communication skills.

· Interpersonal skills necessary to initiate and maintain collegial relationships with doctors, practice administrator, and co-workers.

· Analytical skills are necessary to perform principal duties and responsibilities of job description.

· Basic computer skills including Microsoft Word and Excel.
