Position Summary The Business Manager is a mission-driven professional responsible for the day-to-day financial operations and administrative support of the parish. Reporting to the Operations Director, assists in ensuring the integrity of financial systems, records and processes in support of sound decision-making and the mission of the parish. The Business Manager assists with the stewardship of financial and human resources of the parish in accordance with Archdiocesan policies and guidelines Responsibilities FINANCIAL MANAGEMENT Assist in preparation, evaluation and communication of the Parish (church and school) budget, annual report, profit and loss, balance sheet, tuition receivable, accounts payable and general ledger. Support Operations Director in developing monthly variance reports and forecasts. Perform day-to-day accounting functions including but not limited to coding payables, preparing deposits, general ledger management, etc. Oversee Accounting Service Center's weekly accounting work, monthly close process, and bank reconciliation preparation. Administer monthly procurement card transactions including managing cards and reviewing / coding transactions. Report any discrepancies in policy to Operations Director. Perform weekly offertory deposit process and reconciliation. Manage giving systems and contribution records, ensuring gifts are recorded accurately and timely. Generate and distribute annual giving letters and statements. Contribute to providing and implementing process improvements and efficiencies in financial operations. Assist in planning and tracking projects including capital improvements, events, capital campaigns and mission-driven projects. Assist with projects, vendor relations and vendor analysis. Ensure proper internal controls and financial processes are in place and followed in accordance with GAAP and Archdiocesan policies, procedures and guidelines. Maintain and purge records in accordance with Archdiocesan policy. Confirm that all federal, state and local taxes are paid in accordance with federal, state and local regulations. SCHOOL SUPPORT Support Principal in developing assumptions for annual budget. Forecast school finances each fall after enrollment season. Prepare forecasts throughout the year, as needed. With Operations Director, support and assist Principal in school financial management matters: Tuition setting process Tuition collection process Financial aid process Expense tracking and management HUMAN RESOURCES MANAGEMENT Serve as Human Resources / Payroll Administrator. Perform bi-weekly payroll process, including paid time-off, unemployment requests and related documentation, reconciliation of benefits listing, etc. Implement Archdiocesan Human Resources policies and procedures at the parish level. Manage compliance with Protecting God's Children / Virtus. Perform other duties as assigned. Requirements Undergraduate Degree in Business or related discipline, e.g., Accounting, Finance, preferred. Minimum of three years’ experience in school / parish or business, or equivalent combination of relevant education and related work experience. Demonstrate understanding, respect and support of the Catholic Church teaching, mission and values. Demonstrated thorough knowledge of accounting practices and regulations and federal, state and city laws. Experience in Human Resources practices, including people leadership, interviewing and selection, policy application and employment practices. Knowledge of HR / PR software such as UKG a plus. Strong proficiency in QuickBooks and Microsoft Office products. Excellent organizational and time management competencies. Strong verbal and written communications, organizational, multi-tasking and interpersonal skills. Ability to work in team environment and has a Service Mindset when working with others. Able to identify issues and propose recommendations/solutions. Can be entrusted with highly confidential information. Strong drive to achieve results. Able to travel to other Archdiocesan locations and to work overtime as necessary, sometimes frequently with little notice.
