We are looking for a Bilingual Payroll Administrator / HR Coordinator
The Payroll Administrator / HR Coordinator will oversee all aspects of Payroll, Human Resources and support Safety to form an integral part in the achievement of the Company’s operational objectives. With strong technical and analytical skills, the Payroll Administrator / HR Coordinator will take a proactive approach in reviewing current systems and procedures, making recommendations, and implementing changes.
Scope: The Payroll Administrator / HR Coordinator will report to the Business Manager. This position is responsible for all aspects of payroll; including but not limited to piecework, payroll taxes, garnishments, workers comp, time reporting, current payroll laws and rules, I-9 compliance, hiring practices for 30 to 450 employees and safety compliance and training.
This is a full-time hourly non-exempt position.
MAIN RESPONSIBILITIES:
- Hire employees, verify paperwork, verification for I-9’s.
- Set up new employees or return employees in payroll software.
- Import data from time clocks at all locations.
- Process bi-weekly payroll.
- Ensure accurate and timely payroll processing for all employees in all locations.
- Process quarterly payroll returns and ensure accuracy.
- Set up payroll cards.
- Set up and process garnishments, direct deposits and other deductions.
- Track and reconcile employee PTO and medical benefits.
- Prepare manual checks as needed.
- Obtain supervisory approval of timecard discrepancies.
- Maintain established record keeping and control systems to comply with legal and regulatory requirements.
- Respond to all audits inquiries.
- Ensure the Company’s compliance standards, policies and procedures are effectively maintained.
- Assist employees and managers with payroll / HR questions as well as the interpretation and application of policies and practices.
- Work with managers to maintain safety practices, including weekly and monthly safety meetings, ongoing training, addressing safety concerns, and managing workers’ compensation requirements.
- Prepare and handle all aspects of Human Resources, including new hires, benefits, verifications, audits, workers compensation, and personnel issues.
- Respond to all workers’ compensation and/or unemployment claims or other types of employment verifications.
- Any reasonable task request by the company.
QUALIFICATIONSANDEXPERIENCE:
- Bilingual in Spanish and English.
- Degrees, License and/or Certification: Certified Payroll Professional preferred or equivalent work experience required.
- Minimum 2-3+ years of recent payroll experience working with day to day activities.
- Minimum 2-3+ years of recent HR and safety experience working with the day to day activities.
- Knowledge of Safety compliance and practices a plus.
- Knowledge of piecework payroll a plus.
- Knowledge of ADP payroll software.
- In-depth knowledge of payroll tax, including wage and hour laws for Federal and State required.
- Highly accurate and detailed oriented.
- Excellent 10 key skills.
- Excellent customer service and communication skills in person, on the phone and in writing.
- Excellent problem solving and analytical skills with the ability to audit and ensure accurate completion of payroll, including files and reports.
- Intermediate to advanced knowledge of MS Office programs including Excel, Outlook, and Word required.
- Ability to multitask efficiently, expediently and thoroughly.
- Ability to prioritize, process large amounts of information, and work under deadline pressures.
- Ability to solve problems and work independently with integrity and a positive attitude.
- Ability to search for all information regarding updated or new payroll laws and information.
- Ability to sit for long periods of time working on computer and/or work 10+ hours, 6-7 days a week, during high season as needed.
