Legal Administrative Assistant

$37.5 - $48.75 per hour

Job Summary DLA Piper is a leading global law firm. The Legal Administrative Assistant (LAA) supports attorneys and legal teams, ensuring smooth operation of the firm’s administrative functions. Location Boston, Philadelphia, or Baltimore – hybrid work schedule. Responsibilities Provides practice‑specific support to associates, partners and other attorneys, prioritizing work according to their needs. Drafts, edits, and proofs legal documents, communications, files, or presentations to ensure accuracy. Oversees the maintenance and organization of electronic and paper filing systems within the firm’s DMS/repositories, ensuring accessibility and currency. Collaborates with other LAAs or LEAs on complex projects or administrative tasks, providing mentorship and guidance to LSAs when appropriate. Organizes and monitors assignments in the firm’s workflow tool, ensuring tasks are allocated and completed on time (e.g., time entry, expense reimbursements). Manages billing matters, including approval forms and correspondence, ensuring prebills are processed accurately and timely, and final bills are delivered on schedule. Serves as a trusted advisor for associates, partners, and other attorneys, handling confidential or sensitive matters with discretion and professionalism. Desired Skills Effective verbal and written communication in the native language of the region. Initiative to enhance existing skills and learn new ones, including proficiency with Microsoft Office, legal software such as iManage, Aderant, DocXTools, Innova, and AI‑powered tools for document production, review, and case research. Ability to adapt to application upgrades and evolving attorney needs. Flexibility to work in a fast‑paced environment while ensuring deliverables adhere to firm best practices. Collaborative with LSAs and other support staff. Strong attention to detail, problem‑solving skills, and the ability to make quick decisions. Experience with workflow‑management roles and virtual collaboration tools such as Zoom and Microsoft Teams. Minimum Education High School Diploma or GED. Preferred Education Bachelor’s Degree in legal studies, business administration, or a related field. Minimum Years of Experience At least 2 years working in a legal setting under an attorney or office administrator, or in a similar role. Essential Job Expectations Effective verbal and written communication with clients, lawyers, business professionals, and third parties. Timely and accurate production of deliverables and responsive phone and email handling. Meeting deadlines, expectations, and performing duties as required. Fostering positive work relationships. Compliance with all firm policies and practices. Engagement in both physical and sedentary activity, including extended computer use and virtual calls. Work under pressure and manage competing demands in a fast‑paced environment. Perform all other duties, tasks or projects as assigned. Physical Demands Sedentary work with occasional light lifting, typically up to 10 pounds. Work Environment Hybrid work arrangement may be required, with coordination with the hiring manager or supervisor. Compensation and Benefits Competitive hourly rate of $37.50 – $48.75, with overtime as applicable. Comprehensive benefits package including medical, dental, vision insurance and 401(k).
