Admissions Coordinator (Full-Time)

We are seeking a motivated and customer-focused Admissions Coordinator to join our team. This role serves as the primary point of contact for prospective residents, families, referral sources, and healthcare partners throughout the admissions process. The Admissions Coordinator is responsible for driving occupancy growth, coordinating admissions, building strong referral relationships, and ensuring a positive experience for residents and families from inquiry through admission.

The ideal candidate will possess strong communication, sales, organizational, and relationship-building skills, along with a passion for helping individuals transition into long-term care and rehabilitation services.

The Admissions Coordinator oversees resident admissions, manages referral relationships, coordinates tours and inquiries, and works collaboratively with clinical and administrative teams to ensure a smooth admission experience. This position plays a key role in maintaining occupancy goals and delivering exceptional customer service to prospective residents and their families.

• Manage incoming inquiries from prospective residents, families, hospitals, and referral sources.

• Coordinate and facilitate the admissions process from initial inquiry through admission.

• Review referrals and collaborate with clinical teams to determine admission appropriateness.

• Gather and verify resident information, insurance coverage, and required documentation.

• Meet with residents and families to explain services, admission requirements, and available accommodations.

• Prepare and complete admission paperwork accurately and timely.

• Coordinate room readiness and assist with admission-day logistics.

• Conduct facility tours for prospective residents, families, and referral partners.

• Build and maintain relationships with hospitals, physicians, case managers, social workers, and other referral sources.

• Participate in community outreach initiatives, networking events, and marketing activities.

• Promote services and programs to increase occupancy and strengthen community presence.

• Utilize consultative sales techniques to identify needs and provide appropriate solutions.

• Maintain accurate records and documentation related to admissions and referrals.

• Track inquiry and admission activity using designated systems and reports.

• Participate in team meetings and provide updates on admissions activity and census goals.

• Assist with special projects and other duties as assigned.

• Communicate professionally and effectively with residents, families, referral sources, and healthcare professionals.

• Maintain confidentiality of resident and organizational information in accordance with applicable regulations.

• Prioritize multiple tasks and manage changing priorities in a fast-paced environment.

• Work collaboratively with interdisciplinary teams to support admissions and census growth goals.

• Demonstrate strong attention to detail and organizational skills.

• Maintain knowledge of healthcare services, payer sources, and industry trends.

• Participate in required training, meetings, and professional development activities.

• Support a positive, welcoming environment for residents, visitors, and staff.

• High school diploma or equivalent.

• Minimum of one (1) year of experience in customer service, admissions, healthcare, sales, marketing, or a related field.

• Strong communication, interpersonal, and organizational skills.

• Proficiency with Microsoft Office and other computer-based systems.

• Ability to build relationships and effectively communicate with diverse populations.

• Associate's or Bachelor's degree in Business, Healthcare Administration, Marketing, Communications, or a related field.

• Experience in healthcare admissions, long-term care, skilled nursing, rehabilitation, or senior living.

• Previous sales, marketing, business development, or referral management experience.

• Knowledge of Medicare, Medicaid, managed care, and insurance verification processes.

Schedule: Full-Time
Pay: $25.50 - $27.00 per hour, based on experience
