Chilton Club

The Chilton Club is seeking an experienced and detail-oriented accounting professional to serve as its next Club Controller. This is an outstanding opportunity for a hands‑on financial leader to oversee the Club’s accounting and financial operations while serving as a trusted partner to the General Manager/COO and Club leadership. The Controller directs and oversees all financial, accounting, and administrative functions of the Club. This role is responsible for safeguarding assets, ensuring accurate financial reporting, aiding in data analytics, maintaining internal controls, and supporting sound operational and long‑term financial decision‑making, while serving as a strategic partner to the General Manager. They also manage the Club's overall HR function in conjunction with the General Manager, and may, at times, be asked to serve as the Manager on Duty. This is a service‑focused role within a private club environment where professionalism, discretion, and accuracy are essential. The ideal candidate is organized, analytical, and collaborative. They lead by example and support a culture grounded in hospitality excellence and financial integrity. About the Chilton Club The Chilton Club is a private social Club in the Back Bay of Boston. Founded in 1910 by ten prominent women from Boston and named after Mary Chilton, who is believed to be the first woman to step off the Mayflower. With 850 members, a beautiful Clubhouse, thoughtfully appointed overnight sleeping rooms, private event spaces, and a beautiful dining room, the Chilton Club is rich in history and tradition. The Successful Candidate: Is an effective, passionate hospitality‑focused professional leader accustomed to delivering high‑level service, with a positive attitude, who is collaborative and team‑focused. Has prior experience in the private club, resort, or hotel industry. Consistently achieves goals by effectively managing multiple priorities, meeting deadlines, and exercising sound judgment and discretion. Exhibits strong management skills with strengths in leadership, fiscal responsibility, and emotional intelligence. Prior experience managing, mentoring, and supporting team development. A proven track record of leading small finance or accounting teams. Serves as a strategic and operational partner with managers and staff to promote collaboration, effective communication, and high‑performance teamwork in achieving club goals. Must be able to stay organized and work independently. Has strong written and oral communication skills and welcomes feedback, constructive criticism, and suggestions from members and staff. Has advanced skills in Microsoft Office, with substantial experience in Excel for financial modeling, forecasting, and data analytics. Has prior experience with Club Essentials or other private Club Management Systems and their financial reporting software. Is a forward‑focused leader who will endeavor to leverage technology to streamline finance and accounting processes, improve reporting effectiveness, and support data‑driven decision‑making. Can read, analyze, and interpret financial reports and information, and understand regulations to make sound recommendations. Experience in both 501(c)(7) and 501(c)(3) financial reporting Understanding of the Uniform System of Financial Reporting for Clubs. Demontrates strong analytical acumen and a proactive approach to problem‑solving. Has extensive knowledge of GAAP, financial reporting, and disclosures; understands operational and capital budgeting; and is skilled in forecasting, with an excellent track record in cash management, internal controls, and coordination with the annual audit. Has a full understanding of employee benefits administration, including compliance, insurance, 401(k), and defined‑benefit retirement plans, as well as federal and state employment and tax regulations. Organizational Structure The Controller reports directly to the General Manager and oversees accounts payable, accounts receivable, IT, and HR. The Controller also liaises with the Treasurer and the Finance Committee. Responsibilities – Finance & Reporting Responsible for the Chilton Club’s financial operations, including general ledger, accounts payable, accounts receivable, payroll, and all associated reporting. Develops and administers policies, procedures, and systems for accounting, auditing, budgeting, taxation, and other financial operations. Prepares monthly financial statements, balance sheets, trial balances, budgets, forecasts, and financial analyses. Prepares timely and accurate financial reports for the Finance Committee, Board of Directors, Executive Committee, and General Manager. In collaboration with the General Manager, lead, develop, and oversee the annual operating and capital budgets, with input from department heads. Maintains accounting records; analyzes financial data; evaluates costs, revenues, budgets, and trends. Ensures the accuracy and compliance of the Club's accounting policies and operations. Analyzes financial performance, monitors budget variances, and recommends corrective actions to achieve budget goals. Reconciles monthly ledgers, including receivables, payables, balance sheets, bank and other asset accounts, and wage accounts to ensure accuracy. Maintains complete honesty, transparency, and ethical compliance in every financial transaction and decision. Oversees cash flow, prepares financial forecasts, and provides strategic insights to support short and long‑term financial planning. Ensures member billing is accurate, while ensuring member payments and credits are applied promptly. Monitors high balances on accounts and communicates to the GM, Treasurer, and Finance Committee. Collaborates on the analysis of data and prepares ad‑hoc reports as needed. Develops, reviews, and recommends policies and procedures for the Club's financial operations, including accounting, budgeting, payroll, tax, and cost control. Manages internal audit programs to ensure accurate records and compliance with policies and practices. Collaborates with the Club’s external auditing firm to ensure that procedures are consistent with Club policies and to coordinate the annual audit. Coordinates, reviews, and oversees all applicable federal, state, and local tax filings. Directs, may participate in, and verify the taking of inventories for beverages, food, supplies, equipment, furnishings, and other club assets. Oversees insurance policies and risk management programs, including the annual renewal process in collaboration with the General Manager, to protect club assets. Attend monthly finance committee meetings and other meetings as needed. Compile, approve, and maintain vendor credit applications. Audit all cash and charge expenditures. Safeguard all funds in bank accounts; ensures that revenues are properly deposited and supervises the issuance of all checks. Develop and maintain a collaborative relationship with financial advisors and banking partners. Prepare a year‑end financial operations report for presentation at the annual meeting by the Treasurer. Work with the General Manager and department heads to plan and manage capital expenditures as they relate to cash flow. Inform, train as necessary, and advise department heads on financial planning, operational performance, and the financial aspects of their responsibilities. Select, train, supervise, schedule, and evaluate accounting staff. Manage, review, recommend, and monitor changes to the automated financial management and accounting system. Follow all Club policies and procedures as outlined in the handbook. Maintain necessary confidentiality procedures for Club, member, and employee issues. Oversee and maintain accurate membership listings, financial information, resignation lists, etc. Assist with management of Club technology systems, including software, hardware, updates, upgrades, and maintenance. Recommend systems and process improvements. Responsibilities – Human Resources Oversee all HR and payroll issues, insurance negotiation and analysis, workers' comp, W‑2's, payroll taxes, payroll processing, 1099s, and all necessary HR requirements. Ensure that all departments are compliant with state, local, and federal laws. Maintain necessary procedures for confidentiality relating to Club, member, and employee issues. Annually review and recommend improvements to personnel policies, procedures, and practices. Ensure compliance with federal, state, and local employment laws. Communicate updates to personnel policies and procedures and ensure compliance. Assist management in the annual review and administration of wages and salaries. Consult with legal counsel as appropriate, or as directed by the GM / COO, on personnel matters. Work with department managers on personnel matters to support effective HR management. Recommend, evaluate, and participate in staff development for the organization. Develop and maintain a human resource information system that meets the organization's personnel information needs. Responsibilities – the Club’s Foundation Accept, accurately record, track, and acknowledge all monies on behalf of the Club’s Foundation. Oversee the reporting of and auditing of the financials for the Club’s Foundation. Collaborate with the Foundation’s external auditing firm to ensure that procedures are consistent with the Foundation’s policies and to coordinate the annual audit. Ideal Candidate Qualifications Bachelor’s or Master’s degree in Accounting, Finance, Business, or related field 5–7 years of progressive accounting experience within the club industry Certified Public Accountant (CPA) license preferred Certified Hospitality Accountant Executive (CHAE) preferred Benefits Salary range is $150,000 - $175,000 commensurate with qualifications and experience.
