Summary The Assistant Project Manager is an intermediate-level role within the project management career path, positioned between the Project Coordinator and the Project Manager. This role supports and actively participates in the management of engineering projects through all phases of design and construction, with increasing autonomy and responsibility. The Assistant Project Manager is expected to exercise independent judgment, contribute to project planning and execution, and apply growing technical expertise to ensure projects are delivered efficiently, on schedule, within budget, and in alignment with quality standards. The Assistant Project Manager works closely with Project Managers, team leaders, designers, and engineers, while also serving as a secondary point of contact for clients. This role is intended for professionals who are actively pursuing a recognized project management certification and preparing for advancement into a full Project Manager role. General Responsibilities Project Management Support Project Managers and, as assigned, independently manage discrete project tasks, special initiatives, and small projects with limited supervision. Assist in planning, scheduling, and coordinating project activities across all phases of design and construction. Coordinate the work of other internal resources to ensure timely and efficient task execution. Contribute to workload planning, forecasting, and resource allocation in coordination with the Project Manager. Track project schedules, deliverables, and milestones; proactively identify risks, constraints, and potential schedule impacts. Monitor project budgets and financial performance; assist with forecasting, invoice review, and identification of variances. Participate in quality control processes and help ensure project documentation meets company and client standards. Attend and actively contribute to internal and external project meetings; prepare agendas, meeting summaries, and action item tracking as appropriate. Assist with coordination across multiple disciplines, including mechanical, electrical, architectural, and structural teams. Support coordination with authorities having jurisdiction to anticipate and resolve permitting, regulatory, or compliance issues. Apply working knowledge of engineering design principles, drafting standards, and construction processes to support technically sound project delivery. Client Coordination Serve as a secondary point of contact for clients, providing timely responses and escalating issues to the Project Manager as appropriate. Support the Project Manager in maintaining positive client relationships through clear communication, responsiveness, and follow-through. Assist in preparing project status updates, reports, and presentations for client review. Financial, Administrative, and Systems Support Maintain accurate project records, including schedules, budgets, meeting notes, RFIs, and submittals. Enter and update project data in Deltek and other project tracking systems. Support accounts receivable activities, including invoice preparation support and coordination on collections. Assist with development of fee proposals, manpower estimates, and schedules for new and amended project work. Professional Development Actively pursue a recognized project management certification (e.g., PMP or equivalent). Demonstrate growing leadership skills by mentoring Project Coordinators and supporting onboarding of new team members. Model professionalism, accountability, and collaboration in alignment with company values. Identify opportunities for process improvement and contribute recommendations to enhance project efficiency and communication. Qualifications Bachelor’s degree in engineering, architecture, construction management, business administration, or a related discipline. Equivalent combination of education and relevant experience will also be considered. Typically 4-6 years of progressive experience in project coordination, project administration, or assistant project management within an engineering or architectural environment. Actively pursuing a project management certification; certification completion is expected for advancement. Demonstrated understanding of project management fundamentals, including scope, schedule, budget, and quality control. Working knowledge of applicable building codes, standards, and engineering concepts. Proficiency with MS Word, Excel, Outlook, Smartsheets, Power BI, and project management or resource planning software (e.g., Deltek, MS Project). Strong organizational, communication, and interpersonal skills, with the ability to manage multiple priorities simultaneously. Demonstrated ability to exercise sound judgment and work independently Physical Requirements The employee will primarily work in an office environment and will be required to sit at a desk and view computer monitors for extended periods. Occasional lifting of up to 25 pounds may be required. Site visits may involve standing or walking for extended periods, navigating construction environments, climbing stairs or ladders, and accessing confined spaces, consistent with typical engineering project requirements.
