Clinical Research Coordinator

The Department of Otolaryngology-Head and Neck Surgery is recruiting a Clinical Research Coordinator (CRC) for the Children's Communication Center (CCC). The CRC will provide operational and research expertise to support the clinical, translational, outreach, publicity and quality improvement/research activities of the CCC.

Duties will include, but will not be limited to the following:

1. Comprehensive care coordination (pre- and post-visit) for patients seen in the multidisciplinary CCC clinics

2. In-person participation in CCC clinics for patient recruitment, consent, and survey administration

3. Coordination and in-person participation in off-site CCC clinical research and outreach activities.

4. Coordination and in-person participation in translational research for the CCC, including biospecimen collection, processing, and analysis

5. Telephone survey administration

6. Database management and data entry

7. Review of medical charts and electronic records to extract medical information and other data for use in studies

8. Administrative support for research study activity (including working with the UCSF Committee for Human Research and other regulatory agencies)

9. Management of pediatric multidisciplinary CCC clinics, serving as a primary contact for all patient's families

10. Maintain the CCC website and social media program

Clinical Care Coordination

• Support administrative management, including, but not limitedto, scheduling and authorizations for CCC clinic visits and personnel.
• Serve as a primary point of contact for patients seen in CCC clinics, in order to answer administrative and basicclinical procedural questions, and serve as an intermediary between these patients and clinic providers for provider-level inquiries
• Communicate with referring and collaborating providers and diagnostic testing centers to retrieve records and facilitate follow-up for procedures/tests aftervisits
• Support administrative management of newbornblood-spot CMV testingand genetic testing.
• Maintain rapport and relationships with subjects to ensure effective communication and retention; respond to their diverse needs
• Provide clinical provider support/scheduling for multidisciplinary clinics and ancillary meetings.
• Maintain CCC cliniccalendars
• Coordinate HCC staffadministrative meetings
• Maintain CCC clinicsupplies and purchases
• Communicate with peds OHNSand audiology stafffor follow-up actionitems after HCC and multidisciplinary meetings, including visit scheduling

Outreach and Clinical Research Coordination

• Screen, counsel, enroll, schedule, and collect data from patients for clinical research, quality improvement, and outreach projects of the CCC.
• Administrative management of research andoutreach personnel for the CCC
• Administrative supportfor research protocols, including IRB management, MTA, outside reliances, and other regulatory and compliance documentation.
• Work with outside agencies, including, but not limited to, local school districts, outside contractors, health-advocacy groups, and governmental agencies to organize andimplement outreach andresearch programs supported by the CCC.
• Provide research and outreach program/protocol development support under supervision of the CCC director and research personnel
• Participate in CCC-related outreach activities and presentations.
• Educational library: Assistin development and maintenance of content on resources or education for CCC online educational library.

Qualifications

Required Qualifications:

• HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities; and/or equivalent experience/training.
• Attention to detail; strong interpersonal skills; excellent, effective verbal and written communication skills to coordinate with subjects, team members, other departments, and outside institutions; and the ability to multitask in a fast-paced environment while working with a diverse subject population
• Ability to work well independently, complete projects in a timely manner, and prioritize multiple projects to ensure the completion of essential tasks by deadlines

Preferred Qualifications:

• 1-3 years of experience working with children ages 0-18 in a classroom or clinical setting
• Computer experience: Microsoft applications, FileMaker pro, video and photo editing software
• At least 1 year of experience working with deaf/hard-of-hearing children and their families
• Proficiency in a second language (Spanish or Cantonese preferred)
• Fluency in the usage of Committee of Human Research (CHR) online iMedRIS system for submission, renewal, and modification of protocols through this system
• Understanding of patient population to create rapport and a relationship, while also giving insight to what is realistic and appropriate for patient participation
• Experience with electronic medical records
• Experience with clinical patient management, including scheduling and insurance authorization
• Experience with RedCap database structure, maintenance, management, and/or creation
• Knowledge of UCSF and departmental policies for dealing with reimbursement, guidelines for research, confidentiality and Health Information and Accountability Act (HIPAA) regulations, following the UCSF mission statement and purpose for research, and clear understanding of policies and procedures on patient safety and confidentiality (electronic and hard copy medical records, patient charts, communication, etc.)
• Knowledge of medical terminology, research policies and guidelines
• Prior experience as a teacher of children with special needs
