POSITION OVERVIEW

The Shipping & Receiving (S&R) team member plays a critical role in ensuring the accurate, safe, and compliant movement of inventory into and out of The Armories retail operations. This position is responsible for verifying all incoming shipments from vendors, reconciling with purchase orders and invoices, and processing outgoing transfers and shipments with precision and legal accuracy.

The S&R team member is also responsible for auditing, filing, and managing federal firearms compliance documentation, including FFLs, Form 4473s, Form 3s, Form 4s, and ATF trace requests, ensuring that all records meet required standards for regulatory audit readiness. This position requires a high level of attention to detail, integrity, organizational discipline, and multitasking ability, while supporting sales, warranty, and operational service needs.

This role contributes directly to customer satisfaction, operational efficiency, risk mitigation, and legal compliance, and must uphold The Armories’ Core Values and Mission Statement at all times.

RESPONSIBILITIES & DUTIES

Inventory Processing

Receive incoming shipments, verify quantities, part numbers, costs, and reconcile against purchase orders in the point of sale (POS).

Enter inventory into the POS system with 100% accuracy.

Ensure appropriate pricing and sale labels are applied.

Assist with periodic and scheduled inventory counts and reconciliation after hours.

Compliance & Regulatory Documentation

Audit and properly file all Form 4473s (both physical and digital) by end of shift each day.

Review, track, and maintain Federal Firearms Licenses (FFLs), Form 3s, Form 4s, and other regulated documents.

Complete and submit ATF Form 3310 (Multiple Handgun Sale Report) to the appropriate federal and law enforcement agencies.

Process and respond to ATF or law enforcement trace requests with appropriate documentation.

Maintain filing systems in accordance with ATF requirements and internal compliance protocols.

Shipping, Warranty & Transfer Coordination

Package and ship outgoing inventory, ensuring protective handling and accurate documentation.

Coordinate shipment of warranty repairs and manufacturer service requests.

Process incoming and outgoing firearm transfers, following all legal procedures.

Assist with special orders, vendor returns, and inter-store transfers.

Operational Support & Team Contribution

Maintain S&R workstation cleanliness, organization, and efficient workspace layout.

Support the Sales and Customer Service team during high-volume periods when required. Contribute towards sales targets.

Answer phones and assist in-person customer inquiries.

Promote teamwork and communication across departments.

Safety & Workplace Standards

Maintain consistent application of safety procedures when handling firearms and heavy items.

Follow best practices for lifting, opening, loading, and transferring inventory.

Uphold company hierarchy standards prioritizing Safety → Compliance → Customer Service.

QUALIFICATIONS

Self-starter with a strong work ethic, focus, and organizational discipline.

Highly detail-oriented with strong ability to multitask and work under periodic time-critical conditions.

Professional demeanor with strong interpersonal and communication skills.

Working knowledge of firearms types, manufacturers, calibers, and basic function.

Understanding of firearms transfer laws and ATF policies is required.

Minimum Requirements

Ability to lift at least 50 lbs from ground-level.

Experience using Microsoft Excel, Google Drive, and basic computer software.

Certified understanding of firearms safety (certification required).

Basic firearms product knowledge.

Strategic thinker with a strong problem-solving mentality.

Team-oriented mindset with high integrity and accountability.

SCHEDULE

Full-time hourly position. Work schedule is based on store operational requirements, delivery schedules, and seasonal demand.

PAY RATE

Based on relevant job experience, tenure with The Armories and performance evaluations.
