Executive Assistant

Description At Sterling Federal Bank, we focus on exceptional customer service and serve our community. We are looking for an Executive Assistant to support the President and the executive team. Job Purpose The Executive Assistant provides executive support to the President, serves as the primary point of contact for internal and external constituencies, liaises with the Board of Directors and executive management, coordinates executive outreach and external relations, and manages communication flow. Essential Functions 20% Drafting, editing, formatting reports, memos, presentations, meeting minutes, and coordinating company announcements. 10% Communication liaison: screening calls, managing email inboxes, and handling correspondence. 15% Maintain, archive and disseminate the bank's Procedures Manual and Policy Manual. 25% Serve as Purchasing Agent for office supplies and equipment. 10% Meeting support: scheduling, planning, organizing board meetings, staff meetings and corporate events, coordinating vendors within budget. 5% Maintain and assign corporate office keys, monitor door/alarm systems. 5% Schedule conference rooms for Board and Staff meetings. 10% Handle reservations, travel arrangements and executive appointments. Ensure compliance with all company policies and applicable laws. Additional responsibilities as required. Requirements Exceptional organizational skills, attention to detail, ability to manage multiple priorities and work independently. 4+ years of office management/administrative support at the executive level (preferred). Associate degree or completion of a specialized course in business or trade school. Proficiency in Microsoft Office (Word, Excel, Publisher, Outlook, PowerPoint) and Adobe. No supervisory/managerial responsibilities. High level of trust, credibility and diplomacy; ability to engage customers and advise others on significant matters.
