Position will serve as File Clerk/Scanning Specialist in the Medical Records Scanning Unit of Health Information Management Section.

Duties

Major duties include but is not limited to:

Receives, indexes, scans, and assigns appropriate nomenclature to health and administrative information
Files paper health and administrative documents in accordance with approved procedure
Maintains a system of paper medical records
Retrieves and delivers records or documents upon request from persons having right of access
Interfaces with personal computer applications as well as numerous VISTA and CPRS applications (computer technology)
Forwards requests for the transfer records to other Veterans Health Administration (VHA) medical facilities via Release of Information (ROI)
Identifies and prepares records for retention and disposition
Responds to customer needs in a positive and efficient manner
Fully protects the confidentiality of patient information, access to computer files and release of access codes, according to established guidelines and policies
Assists other co-workers when needs arise
Performs clerical duties, including, for example, the use of computerized records tracking, associated with the retention, maintenance, disposition, and control of administrative and medical records
Transfers or prepares for archiving records of patients not receiving medical care within a three-year period
Performs additional duties as assigned by Supervisor.

Work Schedule: 7:30 am to 4:00pm and 8:00am to 4:30pm.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/29/2024.

Time-In-Grade Requirement : Applicants may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment. For this vacancy, employees under the GS pay system must have held a GS-2 or higher position in the last 52 weeks to be eligible for the GS-4 grade level. If you have not held a GS grade at any time in the past 52 weeks, or are a Wage Grade employee, this requirement does not apply to you. You may qualify based on your experience and/or education as described below:

General Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-03 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: receives, indexes, scans, and assigns appropriate nomenclature to health and administrative information; performs filing of paper health and administrative documents in accordance with approved procedure; Protects the confidentiality of patient records and information; Identifies and prepares records for retention and disposition; transfers or prepares for archiving records of patients. NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week. OR,

Physical Requirements: The work with computers is mainly sedentary in an office environment. However, paper mail /records retrieval, filing, and management involves long hours of standing, with extensive bending, reaching, lifting, stooping, pulling, and other physical exertion or strain.

This occupation is currently approved for a Veterans Health Administration enterprise-wide Critical Skills Incentive through [insert date]. Candidates may be eligible for a lump sum CSI for a pro-rated amount if onboard prior to the CSI expiration date.
