Job Responsibilities

Under general supervision, serves as a legal assistant providing support to attorneys assigned to the Sexually Violent Predator Section.

Establish, maintain, and monitor a system for retaining and retrieving appropriate hard copy files, records, and reports; manually deliver, update, and shelve those items-input and update information for computer tracking software (Lawbase). Assist assigned attorneys with retrieval of records related to pending matters.
Prepare correspondence, pleadings, briefs, opinions, and related legal forms and documents. Prepare for assigned attorney(s) review and signature, correspondence concerning routine requests for information, transmittal letters, or inter-office memoranda relating to matters handled by assigned attorney(s). Proofread all correspondence and prepared documents for format, spelling, punctuation, typographical and grammatical errors. Prioritize work. Facilitate filing of pleadings in the appropriate court and provide copies to opposing counsel, experts, and other State agencies.
Process and distribute incoming mail. Update calendars and LawBase, physically deliver incoming mail to attorneys, and deliver outgoing mail to the appropriate pick-up points. When applicable, prepare routine responses to incoming mail.
Responsible for telephone reception in the Sexually Violent Predator Section, as needed; screen and refer calls appropriately. Prepare written messages and personally deliver them or transfer calls when appropriate or necessary. When unavailable to cover the section telephone, ensure the telephone is appropriately covered or transferred to the main reception desk.
Assist assigned attorney(s) in the planning, scheduling, and monitoring the attorney's work by maintaining an appointment calendar, court calendar, court deadlines calendar, contact list, and correspondence log. Facilitate transport of inmates from SCDC or detention centers for court hearings when necessary. Prepare necessary subpoenas and facilitate proper service.
Promptly file all documents in the appropriate case files, maintain case files in an orderly manner in the designated file area, and update Lawbase as necessary. Close completed SVP case files promptly, ensure all material is secured in the file folders (except voluminous materials such as transcripts and briefs) per office requirements, and take the closed file to the file coordinator.
Open Prosecutor's Review files upon receipt of documents from SCDC regarding MDT referrals, request NCIC reports on each referred individual and secure the records in the appropriate file folder and the document management database. Review documents and prepare forms for the Prosecutor's Review Committee, including case summaries, ballot forms, and cover letters, and forward documents to the Committee members before the scheduled meeting. Prepare letters and other forms regarding the Committee referrals and forward the documentation to the appropriate attorney(s). Update Lawbase and prepare PRC file for closure.
Assist in finalizing and filing all documents, including correspondence, pleadings, briefs, opinions, and forms related to Sexually Violent Predator appeals. Proofread all correspondence and prepared documents for format, spelling, punctuation, typographical, and grammatical errors. Track appellate court deadlines in the Judicial Department C-Track system. Update Lawbase at each stage of the appeal. Save appeal documents in the appropriate file in the document management database. Ensure closed appeal files are documented in Lawbase and the document management database.
Promptly advises Victim Services of any development and status of SVP cases.
Obtain NCIC reports as required.
Handle reasonable requests or tasks as required by the section supervisor.

Minimum and Additional Requirements

Bachelor's degree or high school diploma and four years of clerical or administrative experience.

Preferred Qualifications

Must possess knowledge of Microsoft Word, Adobe, and Excel.
Must be well organized and be able to juggle multiple demands.
May require good typing skills and excellent organization skills.
Prior experience as a legal assistant is helpful.
NCIC certification preferred.
