Anderson Ranch Arts Center is a year-round visual-arts not-for-profit, tax-exempt organization with a 55-year history of providing transformative experiences that celebrate artists, art-making and creative dialog, at the intersection of craft and the global contemporary art world. Anderson Ranch’s campus is an artistic community nestled among the pristine peaks of the Rocky Mountains. The Ranch campus consists of 14 buildings providing 55,000 square feet of facilities including eight studio buildings, a gallery, a lecture hall, café, store, administrative offices, a student dormitory, as well as residential apartments and cabins. State-of-the-art equipment allows cross-disciplinary experimentation within the mediums of ceramics, woodworking, photography, digital fabrication, painting, sculpture and printmaking. Position Summary:

The successful candidate will take ownership of the administrative needs of the Artistic division, supporting the success of the team by ensuring stable and effective organization of the details behind Visiting Artists and Summer Series speakers, Artists-in-Residence program, Live and Silent Auction, Gallery and Outdoor Sculpture Exhibition.

Core Responsibilities

Administrative Support to the Vice President of Artistic Affairs: Works closely with the Vice President to manage calendars, organize meetings, schedule appointments and manage team communications. Duties include keeping minutes, following up on action items, recording file memos, drafting correspondence. Will also work with other artistic staff team members assigned to oversee specific programs as assigned below.

Summer Series Speaker and Visiting Artist Programs: Includes organizing engagement agreements, arranging travel, housing and meals for high-caliber guests. Preparing detailed itineraries, welcoming these special Ranch guests and assuring a concierge-level support to guests throughout their stay. The Summer Series primarily runs in July and August and there is a special speaker program during President’s Day Weekend. Visiting Artists come throughout the year for customized experiences.

Artists-in-Residence Program Logistics: Serve as main contact for all AiR prior to arrival, during Residency, and post Residency. Provide administrative support to the Artists-in-Residence program, including managing the artists’ application process, jury process, facilitating the selection committee process, preparing correspondence and communicating with selected artists on program schedules and policies. Artists-in-Residence programs run for 10 and five weeks respectively in the autumn and spring.

Gallery and Sculpture Exhibition Coordination: Manages all aspects of the annual outdoor sculpture exhibition, send invitations, solidify participants and artworks, negotiate and prepare consignment/loan agreements, maintain adequate insurance coverage and organize shipping and installation. Works closely with the assigned coordinator to arrange gallery exhibition install and uninstall, including shipping and packing, communicates with participating artists and curators, facilitates communications with all involved parties, creates and sends contracts and invitations. This role will also work closely with events for receptions and other events involving the gallery space.

Live and Silent Auction: Works with Vice President, Directors and stakeholders to create auction asks, coordinates with artists and galleries for shipping and framing, facilitates installation, is the main point of contact for receiving donations of artwork. Works closely with multiple departments including events and development to ensure smooth execution and proper documentation for auction events. Coordinates 200+ works for the silent auction, including photographing works, creating arrangements and working with marketing to get information to the public.

Special Projects and Miscellaneous: Organize weekly Art Crew meeting, agenda, and send follow up notes post meeting with action items. Plan and manage bespoke workshops – negotiate terms and workshop options, draw up contracts, track payments, coordinate pre-arrival forms with Operations, coordinate any Café needs, coordinate with Artistic Staff to ensure materials are ordered and studios are ready for the workshop, etc. Work as a bridge between the Artistic Department and all other departments at the Ranch.

Education and Experience:

Bachelor’s degree in Art, Administration, or related field required. Master’s degree preferred.

At least three years of experience in an art related field and arts administration or gallery experience preferred.

Staff Community Responsibilities:

Community Outreach Leader : All staff members are expected to build and lead partnerships with community organizations as they relate to their area of responsibility, and to actively support the outreach efforts of other team members.

Engaged & Supportive Team Member : All staff are expected to support colleagues and engage in the programs and events of the Ranch by attending lectures, artist talks, fundraising events, and community wide events and being available to jump in and help make them a success.

Support Major Fundraising & Community Events : All staff are expected to support the major annual events that engage the public and fundraisers. These are “all hands on deck” efforts and all staff are expected to participate in ways outside their normal professional functions to make them a success from set-up, to execution, to tear down.

Professional & Personal Development: Continuing to learn and improve is a job requirement of all staff. Team members are expected to be growing, learning, and improving in their artistic and professional lives.

Brand Ambassador : All team members are expected to comport themselves in a manner that is fitting with the organization; represent the Ranch both on and off-campus, as well as online and on social media, keeping in mind that positivity and professionalism are respected and appreciated.

Physical Requirements:

Sedentary work that primarily involves sitting/standing.

Light to medium work that includes moving objects up to 40 pounds.

The employee frequently is required to stand, walk and reach with hands and arms .

Typical tasks as required to actively work in art studios/facilities in a historic building space with uneven surfaces, stairs, gravel walkways, etc.
