JOB SUMMARY:

The Operations Manager oversees the College Outdoors office and program operations at Lewis & Clark College, for the purpose of developing student's sense of belonging and leadership skills, improving student wellness, contributing to recruitment and retention, and supporting institutional revenue goals. This position will train and supervise approximately 30 students in their positions as outdoor trip leaders and office staff. Under the supervision of the Director, this position is responsible for organizing, coordinating, planning, and tracking budgets for approximately 100 outdoor trips throughout the academic year. They manage promotion, registration, trip placement, and pre-trip logistics of New Student Trips each August. This position is responsible for managing the program database systems, website, and other digital systems. The incumbent leads outdoor trips (1-5/semester) and facilitates student leader training throughout the year.

DESCRIPTION OF DUTIES & RESPONSIBILITIES:

20% Administrative Management

Provides office management, scheduling, and logistics for all programming, including weekend trips, weekly clinics, New Student Trips program, and Wilderness First Responder programs.
Oversees, collects, and screens confidential medical forms and liability releases from each participant.
Ensures student and professional staff adherence to FERPA.
Manages the program's schedule and annual calendar.
Manages Google accounts, Google forms, applications, evaluations, and downloading/uploading documents along with other complex computer processes
Manages database systems for weekend trip registrations (Filemaker Pro) and New Student Trips (Slate), including some database development and script writing
Creates annual reports and permit requests for federal land use.
Oversees trip evaluation process.
Utilizes Adobe Suite (Illustrator/In-Design/Photoshop) to manipulate documents, photos, and media.

20% Program Development and Trip Management

Handles the management of all New Student Trip registration, the online payment system, trip placement, student arrivals, and pre-trip logistics.
In coordination with the Director and Logistics Manager, plans weekend trips, weekly clinics, New Student Trips, and other events.
Aligns offerings with demand by trip type in order to optimize participation and expenses.
Assists the director in College Outdoors' risk management program, long term planning, and day-to-day implementation. Assists with identifying opportunities for new programming and funding sources
Promotes Accessibility, Diversity, Equity, and Inclusion in all aspects of the program
Orders food pack outs for all weekend trips.
Monitors weekend trip return in the absence of the director.
Implements emergency plan to initiate search and rescue operations. Some weekends of on-call duty is expected.
Makes lodging reservations for upcoming trips planning 6 months - 1 year in advance.
Follows up with students, when appropriate, on issues that arose during trips. Coordinates with other departments when necessary to discuss disciplinary concerns and appropriate medical follow-ups.

20% Student Leadership Development & Instruction

Assists the director with recruitment, hiring, training, testing, evaluating and supervising trip leaders. Training includes ensuring staff awareness and adherence to federal agency regulations.
Provides constructive feedback to students about their leadership skills and performance
Trains students and professional staff in defensive driving.
Track student leader's qualifications and progress
Advises student steering committee and collaboration with the student government.
Teaches outdoor skills trainings, leadership skills, and facilitate skills clinics
Leads outdoor trips

15% Supervision

Hires, trains, supervises and schedules over 20 students each semester. Trains students on computer use, software, office, and warehouse protocol.
Manages student payroll and pay structure.
Reviews timecards of all student staff, student trip leaders, and on-call staff.

15% Budget Management

Processes revenues received for trips and courses.
Tracks spending and assists the Director with budget planning
Oversees scholarship budget and allocations.
Assesses and purchases departmental software and hardware needs.
Works with other offices to get financial aid information and set up online payment systems.

10% Marketing

Increases participation in trips through marketing including advertisements, digital screens, website, and bulletin boards.
Maintains and develops program webpage.
Oversees production of program publications including the trip offerings brochure.
Creates/updates written materials, trip descriptions, and website content to promote New Student Trips

MINIMUM QUALIFICATIONS:

Bachelor's degree.
2 years' related office management experience and coordinating or supervising events or trips.
Extensive previous computer experience with a proficiency in word processing, database, and spreadsheet software.
Experience working in a collegiate environment supervising students.
Experience tracking budgets
Valid driver's license and ability to meet College's insurance criteria to drive college's vehicles.
Must have a Wilderness First Responder training by the start date of the position.
Experience leading and training in an outdoor-related setting.

PREFERRED QUALIFICATIONS:

Familiarity with page layout, database, and web software (Adobe Suite, Microsoft Office Suite, Filemaker Pro, Slate, Google Suite).
Ability to drive professionally and train staff members.
Familiarity in managing and manipulating digital and online images.
Expertise in one or more of the following areas: kayaking, whitewater rafting, rock climbing, nordic skiing, environmental education
Experience implementing Equity, Diversity, and Inclusion programming, training, or initiatives
