PURPOSE:

The position serves as the hub for communication for the culinary department by serving the needs of our students and guests that work with Oregon Coast Culinary Institute (OCCI). The position distributes information campus wide and coordinates all activities within of the department, including community and internal events. ****First Consideration Date for Applicants is June 10th, 2024**** Description of Essential Functions Operations Management (75 % of Time) Manage student and guest needs and requests. Coordinate building events and program support. Manage the office and provide assistance to the Executive Director, faculty and staff. Draft and word process professional quality correspondence, reports, forms, minutes, invoicing, memoranda, and other materials utilizing word processing, accounting programs, spreadsheets, etc. Prioritize and sort incoming mail. Coordinate partnerships with restaurants, lodges, resorts, and other industry organizations. Maintain relationships with these establishments in order to facilitate externships and other activities to support OCCI. Assist the Executive Director with budget management, expenditure authorizations, and budget requests. Monitor budget by researching and compiling necessary information utilizing Jenzabar, word processing and spreadsheets. Manage OCCI correspondence. Create and implement a system for easy access of informational materials by co-workers. Collect, direct and monitor time sheets, leave forms, requests to hire, separation forms, and other related payroll information to and from the Executive Director and the Human Resources Office when required. Manage, collect, compile, and research data as needed for ACF Accreditations and reporting as well as state reporting (Department of Justice). Manage OCCI events as assigned to include events outside standard work hours. Assist in vendor management, including supply orders, services and other needs of the department. Manage OCCI building operations in the absence of the Executive Director. Administrative Support (25% of Time) Facilitate the sharing of necessary information to all areas throughout college. Answer questions by phone and in person from students, potential students, faculty, administrators, contractors, agencies, and others. These communications may involve sensitive issues and problems requiring resolution and/or investigation in the absence of the Executive Director and a thorough knowledge and interpretation of the policies of the college as pertains to the Executive Director. Facilitate flow of information between OCCI Instructors, Student Services Representatives, and Financial Aid Advisors. Organize and facilitate the timely processing of check requests, requisitions, purchase orders, correspondence, invoices, inquiries and other paperwork to and from the Executive Director's office. Schedule appointments and meetings with and for the Executive Director with campus personnel, Southwestern administrators, faculty, students, contractors, etc. Set up meetings, make room reservations, and coordinate needed audio-visual, materials, and record minutes as needed. Provide support to students from orientation to externship, including assisting perspective students with campus tours. Work with the Office of Instruction to ensure general education courses are scheduled so that students can stay on their path during their program. Required Knowledge, Skills and Abilities

REQUIRED QUALIFICATIONS

Bachelors Degree OR Associates Degree with three (3) years of business administration experience. Two (2) years of experience in areas related to education administration, hospitality or office management. Extensive experience working with diverse populations. Required Knowledge, Skills and Abilities Individuals must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. Knowledge of programs, to assist in developing OCCI promotional material. Ability to read and write sufficiently to understand and correctly use information in various federal regulations to complete required reports, correspondence, documents, etc.. Knowledge of academic/instructional issues, institutional policies dealing with student admissions, faculty contracts and payroll; course policies and procedures, and special projects contracts. Ability to communicate effectively with people of diverse ages and backgrounds, in groups or individually by telephone or letter with students, staff, general public, business and agency personnel with responses or directions that require general knowledge of college policies, procedures, curriculum and programs. Ability to work unsupervised. Ability to maintain confidentiality and professionalism. Ability to supervise students and staff. A clear, in-depth understanding of the mission of the institution, the educational needs of students and the role of the various divisions in achieving them. Ability to stand and/or sit and continuously perform essential job functions for entire shift with two fifteen-minute breaks and a one-hour meal break. Ability to speak and/or cook in front of large groups of people. Teamwork; must have the ability to work with difficult persons in high pressure situations and to work under pressure and time deadlines.

Applicants for this position possessing one or more of the following knowledge, skills, and abilities with receive preferred consideration through the selection process: Associate degree or Certificate in Culinary Arts and/or Baking and Pastry or BS in related field. Experience in a public institution; public speaking skills; knowledge of integrated system software programs.
