Job Description

Job Title: Administrative Assistant

Working Hours: 8:00 A.M. – 5:00 P.M.

Working Weeks: 52 (Temporary)

General Duties

Under the Executive Director, the Administrative Assistant is responsible for general office management. This temporary position assumes a team relationship with all Admin/Agency staff and the performance of any other related duties.

Specific Activities

Perform administrative and secretarial duties for the Executive Director.

Take and transcribe minutes of meetings

Operate all office machines: copier, stamp and fax machine, etc

Maintain filing system in accordance with new memorandum

Attend pre-service and in-service training

Attend other trainings and conferences in absence of the Executive Director

Handle of incoming and outgoing correspondence

Schedule appointments and make calls for the Executive Director

Channel clients and incoming calls to proper staff persons

Open and review incoming mail in absence of the Executive Director

Maintain telephone log

Perform related duties as required

Must be a team player

Requisition & order office supplies for the agency

Other duties as assigned

Supervisory Controls

Directly responsible to the Executive Director

Other Significant Facts

Three (3) to four (4) years training or comparable experience with other agency

in the capacity of administrative assistant.

Typing speed of 60 words per minute.

Good physical condition.

Equivalent training and experience will be considered.

Able to work with other agency staff members.

Must be able to work with low-income families.

Qualification

Minimum of a GED, high school diploma. Preferable: AA in business/BS in Business
