Overview
The Human Resources Assistant provides temporary administrative and compliance support to the Human Resources and Finance Departments during the 2025 Christmas Kettle hiring season and the year-end transition period. This position plays a critical role in ensuring accurate processing of seasonal employee paperwork, background checks, system entries, and compliance documentation.
*Seasonal position from September to December at 28 hours per week
Responsibilities Process employment paperwork for 2025 Christmas Kettle bell ringers in compliance with The Salvation Army’s standards and state/federal employment laws.
Manage information flow and documentation in the shared drive, ensuring accurate and organized recordkeeping.
Enter batch hire requests into TSAMM and track progress through the approval cycle.
Communicate with Corps Officers regarding approval procedures, status updates, and compliance requirements.
Conduct required background checks through internal Salvation Army systems and state criminal background check processes.
Coordinate with background check vendors to monitor timing, follow up on findings, and ensure results are processed promptly.
Maintain hiring approval checklists to ensure all requirements are met for compliance with internal standards and legal obligations.
Provide support for HR processes related to employee files and data entry during the UKG system transition.
Assist with miscellaneous HR tasks, including open enrollment support and updating internal system spreadsheets.
Support Finance by processing certificates of insurance and assisting with other year-end administrative tasks.
Perform other duties as assigned to support the Human Resources and Finance seasonal efforts.
Qualifications Prior administrative or HR support experience is preferred.
Strong attention to detail and organizational skills.
Ability to maintain confidentiality and handle sensitive information appropriately.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new systems (TSAMM, UKG, background check portals).
Strong written and verbal communication skills.
Ability to manage multiple priorities in a deadline-driven environment.
