Administrative Assistant

Position Overview: As an Administrative Assistant in the Registrar's office, you will support a range of administrative activities associated with the university's matriculation and graduation processes.

Answer phones and greet walk‑in constituents.

Manage eShipGlobal account and shipments.

Approve TimeClock Plus entries and enter leave on office calendar, blackout dates, and other academic important dates.

Assist with the commencement confirmed attendees database and pronunciation list for readers.

Provide backup registration window, desk, and phone coverage.

Assist with preparing and mailing diplomas after degrees are awarded.

Coordinate international mailing of diplomas/transcripts and correspond with international students without U.S. PR mailing addresses regarding midterm grades and other mail items.

Assist with enrollment and degree verifications during peak times.

Assist with transcript questions.

Notary for diplomas/transcripts/apostille.

Assist with commencement preparations and other duties as assigned.

Qualifications

Required: Associate’s degree.

Required: 1–2 years of directly related work experience.

Preferred: Bachelor's degree.

Preferred: 3 years in higher education or related field.
