Head of Client Experience - Remote

Alpha operates as a private K-12 school network. Students complete academic work in roughly two hours each day and dedicate the remainder to developing practical competencies—and performance data validates the approach. This role is campus-based, requiring daily in-person presence at one location across 12 available markets: Los Angeles, Santa Barbara, La Jolla, or Malibu, CA; Austin, TX; Atlanta, GA; Boca Raton, FL; Boston, MA; Chicago, IL; Greenwich, CT; Nashville, TN; or Park City, UT. Families invest at premium levels, conduct thorough research, and pose rigorous questions regarding academic standards and expectations within the initial ten minutes. The educational model functions only when enrolled families genuinely align with its philosophy. Within a small cohort, even one misaligned family alters the environment for all participants.

You will assume complete ownership of admissions operations for a single campus. Initial inquiry, alignment discussions, facility tours, shadow day coordination, final decision conversations—you serve as the sole point of contact from inquiry through enrollment. A typical week includes: responding to all inquiries within four hours, guiding a skeptical parent through the afternoon program structure, facilitating a shadow day experience, maintaining all records in HubSpot, and informing a family that their child would benefit more from an alternative environment. You will simultaneously manage 20 or more families at varying stages of the process. You assess alignment and communicate outcomes directly, in person, using your own language.

The network continues to expand, and operational procedures evolve accordingly. Those who establish success in a market author the FAQs, alignment criteria, and standards adopted by subsequent campuses—and their reputation circulates among affluent families within their region.

This position requires daily on-site presence at your assigned campus. Professionals who excel typically come from: admissions and enrollment roles at selective institutions; high-value consumer sales positions serving families, such as luxury real estate professionals, private wealth advisors, or premium practice operators; and hospitality or private service leaders who have delivered exceptional experiences for discerning clientele.

What You Will Be Doing

Managing the complete enrollment pathway for all prospective families, from initial contact through onboarding, conducting thorough needs evaluation before offering any presentation.

Maintaining simultaneous oversight of 20 or more active family cases, ensuring prompt inquiry response and daily application review.

Facilitating campus tours, open house events, informational sessions, and shadow day experiences that clearly demonstrate program alignment and boundaries.

Developing admission or decline recommendations and personally communicating decisions to families.

Updating HubSpot and the student information system (SIS) following each interaction, employing AI tools such as ChatGPT or Claude for preparation and documentation, and providing weekly pipeline status reports to leadership.

What You Won’t Be Doing

Pursuing enrollment quotas. An enrolled family who subsequently departs represents a more negative outcome than a family declined at outset.

Having your alignment assessments overridden to preserve relationships or achieve yield metrics.

Executing templated scripts, high-volume calling campaigns, or discount-driven closing tactics.

Transferring families through multiple coordinators, or awaiting committee approval for standard communications.

Conducting surface-level facility tours that avoid substantive questions.

Director Of Guest Relations Key Responsibilities

Secure enrollment of appropriately aligned families at a single campus and ensure that even declined candidates experience the process as quality service.

Basic Requirements

3 or more years in a client-facing capacity where an individual or family represented the purchasing entity at $25,000 or more per client, or $2,000 or more monthly. (Direct B2C/D2C exclusively; B2B and enterprise sales do not qualify.)

You have directly managed a client, admissions, or enrollment pathway from initial inquiry through commitment decision.

You have simultaneously overseen 7 or more client relationships using a CRM, database, or tracking system.

You have advised a prospective client against purchasing, enrolling, or joining due to alignment concerns.

You have integrated AI tools into client-facing processes.

You communicate effectively in writing with executives, high-net-worth individuals, or other demanding clientele.

You currently reside in, or will relocate within 60 days to, an available campus market: Los Angeles, Santa Barbara, La Jolla, or Malibu, CA; Austin, TX; Atlanta, GA; Boca Raton, FL; Boston, MA; Chicago, IL; Greenwich, CT; Nashville, TN; or Park City, UT.

Prepared to work on-site at your assigned campus every day.

Nice-to-have Requirements

Admissions or enrollment management background at a selective private, independent, or boarding school.

Experience in luxury residential real estate, private banking, family office services, concierge medicine, or high-end event coordination, with families as your primary clients.

You developed enrollment processes or service standards independently rather than adopting existing frameworks.

You maintain existing relationships with affluent families, preschools, or family advisors in one of the 12 markets.

Owner-operator background where you personally sold, delivered, and retained high-value clients.

Working with us

This is a full-time (40 hours per week), long-term position. The position is immediately available and requires entering into an independent contractor agreement with Crossover as a Contractor of Record. The compensation level for this role is $100 USD/hour, which equates to $200,000 USD/year assuming 40 hours per week and 50 weeks per year. The payment period is weekly.
