Workers' Compensation Surgery Scheduler / Coordinator

Work Comp experience required.

We are seeking an experienced Workers' Compensation Surgery Scheduler / Coordinator to manage surgical scheduling and coordination for Work Comp patients. The ideal candidate will have strong experience with Workers' Compensation claims, surgical scheduling, insurance verification, authorizations, and Epic EMR . Orthopedic experience is highly preferred.

Required Qualifications

• High School Diploma/GED required
• 2+ years of Workers' Compensation claims experience required
• Workers' Compensation experience is a hard stop
• Epic EMR experience required
• Flu vaccination required; no declinations/no exemptions
• Strong knowledge of Work Comp processes, authorizations, claims, and documentation
• Strong communication, organization, and patient-service skills

Preferred Qualifications

• Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA)
• Experience in an Orthopedic setting preferred
• Previous surgery scheduling or surgical coordination experience

Key Responsibilities

• Handle all Workers' Compensation scheduling for patients, including pre-operative and post-operative appointments.
• Verify insurance information and obtain required surgery authorizations and health clearances .
• Ensure all pre-operative studies are scheduled and completed before surgery.
• Coordinate clinical staff and OR time for scheduled procedures.
• Review surgery/procedure risks and benefits with patients according to physician orders.
• Enroll patients in appropriate pre-surgical education classes as directed by the physician.
• Serve as the primary point of contact and liaison between patients, physicians, internal departments, and external partners .
• Provide patient support and coordination before, during, and after surgical procedures.
• Ensure all arrangements for surgical procedures are completed, including obtaining special equipment requested by physicians.
• Respond to patient questions and concerns, provide service recovery when appropriate, and escalate issues to the supervisor when necessary.
• Provide direct concierge coordination between the physician office and the patient's designated representative.
• Manage physician referral work queues and complete referrals accurately.
• Handle physician correspondence, forms, authorization requests, calendars, and transcription needs.
• Prepare charts and review, update, and maintain accurate patient demographics and insurance information.
• Work with the billing team to provide information for audits and ensure appropriate surgical reports and charges are submitted.
• Collaborate with Workers' Compensation adjusters and nurse case managers regarding authorization requests.
• Follow up with adjusters and case managers to ensure required authorizations and documentation are completed.
• Provide clinical or administrative support based on operational needs.
