Position: Admissions Assistant / Concierge
Location: Jersey City, NJ
Shift: Full-Time | 12:00 PM – 8:00 PM
Salary: $20.00 per hour

Optima Care Harborview is seeking a friendly, organized, and motivated Admissions Assistant / Concierge to support the Admissions Director while providing an exceptional experience for residents, families, visitors, and prospective residents.

Key Responsibilities

• Assist the Admissions Director with daily administrative and admissions-related tasks.

• Provide a warm, welcoming experience for residents, families, visitors, and prospective residents.

• Serve as a knowledgeable and professional point of contact at the facility.

• Assist with coordinating admissions-related paperwork, communications, and follow-up.

• Answer phones, greet visitors, and direct inquiries to the appropriate department.

• Support tours and provide information to prospective residents and their families.

• Maintain organized records, documents, and correspondence.

• Assist with scheduling, data entry, and other administrative duties as needed.

• Use Microsoft Office applications for routine administrative tasks.

• Work collaboratively with facility leadership and other departments.

• Maintain a professional, positive, and service-focused attitude at all times.

• Perform other duties as assigned by the Admissions Director or facility leadership.

Qualifications & Requirements

• High school diploma or equivalent preferred.

• Previous experience in healthcare, admissions, hospitality, customer service, or an administrative setting is a plus.

• Strong customer service and communication skills.

• Friendly, energetic, and professional demeanor.

• Organized and detail-oriented with the ability to prioritize multiple tasks.

• Flexible and motivated with a willingness to learn.

• Quick learner who can adapt to changing priorities.

• Proficient with Microsoft Office and basic computer applications.

• Ability to work independently as well as part of a team.

• Strong interpersonal skills and a commitment to providing an excellent resident and family experience.
