ABOUT ALPHA REFINERY

Alpha Refinery is a men’s health practice in Hinsdale focused on performance medicine and longevity. We provide personalized care and an exceptional experience for our patients, while welcoming the partners who support them. ABOUT THE ROLE

You’ll be a welcoming first point of contact for patients, help keep daily operations running smoothly, and introduce Alpha Refinery to local businesses and potential community partners.

You should feel comfortable walking into a business, introducing yourself to the owner or manager, and starting a meaningful conversation. You should be just as dependable when it comes to answering the phone, following up with a patient, preparing a room, or keeping records accurate.

This hands-on role combines patient experience, front-desk coordination, community outreach, and clinical-team support appropriate to your training and qualifications.

WHAT YOU’LL DO

Patient Experience & Communication

• Welcome patients and help them feel comfortable, informed, and cared for throughout their visit.

• Answer calls and respond to inquiries with warmth, professionalism, and timely follow-through.
\n
• Coordinate appointments, check-in, forms, reminders, rescheduling, and checkout.
\n
• Explain approved services, pricing, membership options, and administrative next steps clearly.
\n
• Follow up with prospective and existing patients while respecting their preferences and privacy.
\n
• Direct clinical questions to the appropriate licensed provider.
\n

Community Partnerships & Outreach

\n
• Visit nearby businesses and introduce Alpha Refinery to owners, managers, and community contacts.
\n
• Identify opportunities for local collaboration and bring recommendations to leadership.
\n
• Help coordinate approved events, outreach, and partnership activities.
\n
• Maintain organized records and consistently follow through on conversations and commitments.
\n
• Coordinate off-site outreach with the team to maintain reliable clinic coverage.
\n

Clinic Operations & Team Support

• Process approved payments and assist with membership administration and billing follow-up.
\n
• Keep scheduling, patient communication, and administrative records accurate and organized.
\n
• Prepare, stock, reset, and sanitize patient rooms and maintain a welcoming environment.
\n
• Assist with patient flow, visit preparation, equipment readiness, and supply needs.
\n
• Perform clinical support tasks only after appropriate training and competency verification, within authorized duties and required supervision.
\n

Brand & Patient Engagement

• Help schedule and publish approved social media content.
\n
• Support patient feedback, review requests, and approved engagement activities using appropriate consent and privacy procedures.
\n
• Share useful patient feedback and community insights with the team.
\n

EXPERIENCE & QUALIFICATIONS

• Experience in a medical office, patient-facing healthcare, concierge hospitality, or a customer service or sales environment is preferred.
\n
• Medical Assistant training or relevant clinical support experience is preferred.
\n
• Strong written and verbal communication skills.
\n
• Comfort learning scheduling, patient communication, payment, and basic social media systems.
\n
• Ability to work on-site in Hinsdale and participate in local business outreach.
\n

SCHEDULE

Monday, Thursday, and Friday: 9 a.m.–5 p.m.

Tuesday: 7 a.m.–3 p.m.

Wednesday: 11 a.m.–7 p.m.

Patients feel welcomed and supported. Calls and follow-ups are handled promptly. Scheduling and records are accurate. The clinical team has dependable support. Local relationships are built thoughtfully and maintained through consistent follow-through.
