Position Overview
We are seeking a highly organized and professional Bilingual Administrative Assistant to provide executive and administrative support to senior leadership within a healthcare organization. This role requires strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities while maintaining confidentiality.
The ideal candidate will have prior administrative experience in healthcare and experience supporting executives, including C-suite leaders.

(Locations are approximately 6 miles apart; 10-15 minute drive.)

Position Overview
We are seeking a highly organized and professional Bilingual Administrative Assistant to provide executive and administrative support to senior leadership within a healthcare organization. Key Responsibilities
- Answer and direct incoming telephone calls in a courteous and timely manner.
- Provide administrative support to senior leadership, including drafting and distributing emails, memos, letters, spreadsheets, forms, and faxes.
- Transcribe audio recordings and edit speech-recognition-generated documents for accuracy.
- Sort and distribute incoming mail to appropriate departments.
- Serve as a resource for information and referrals on a variety of topics.
- Establish and maintain accurate and confidential electronic and paper filing systems.
- Coordinate internal and external meetings, including agendas, travel, and lodging arrangements.
- Prepare meeting minutes and distribute them to participants.
- Maintain records of grants, grant applications, and programmatic contracts.
- Order office supplies and coordinate food deliveries for meetings.
- Assist departments with data entry and document preparation.
- Prepare reports, forms, and correspondence from drafts, notes, or verbal instructions.
- Ensure confidentiality of sensitive information.
- Demonstrate a positive, proactive, customer-service-oriented attitude.
- Work collaboratively with team members across departments.
- Take initiative to support continuity of operations.
- Complete assignments within scheduled shifts.
- Perform other duties as assigned.
Required
- Fluent in both Spanish and English.
- Strong organizational, communication, and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to maintain confidentiality and exercise discretion.
- 1-2 years of administrative experience in healthcare.
- Experience supporting senior executives or C-suite leadership.
