Administrative Assistant

Our client is seeking an Administrative Assistant to provide operational and administrative support for Campus Resources and Human Resources-related workflows. This role is responsible for supporting daily HR operations, managing intake processes, maintaining documentation, and assisting with operational reporting and coordination activities in a fast-paced higher education environment.

  • Manage shared inboxes, action queues, and ticketing workflows while ensuring timely responses and resolution of standard cases
  • Provide first-level support for routine HR-related inquiries from campus HR teams
  • Review active job postings for compliance and quality concerns and coordinate revisions with campus partners as needed
  • Track trends and identify recurring issues to support operational improvements and training initiatives
  • Respond to inquiries related to background verification processes in accordance with established procedures
  • Maintain and update SharePoint sites and HR operational materials to ensure accuracy and version control
  • Maintain standard operating procedures (SOPs), templates, and quick reference guides
  • Provide operational support during peak periods, including system testing, project cutovers, and implementation activities
  • Assist with reporting, tracking, and administrative coordination activities
  • Support special projects and additional operational duties as assigned

Qualifications

  • 46 years of experience in HR operations, shared services, higher education administration, or related administrative support roles required
  • Strong proficiency with HRIS or enterprise systems
  • Strong Microsoft Excel and/or Google Sheets skills
  • Excellent attention to detail and ability to follow established procedures accurately
  • Strong written and verbal communication skills
  • Customer service-oriented mindset with professional communication abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong organizational and problem-solving skills

Preferred Qualifications

  • Workday experience including reporting, business processes, or training support preferred
  • Experience supporting HR operations within a higher education environment preferred
  • Experience maintaining SharePoint sites and operational documentation preferred

Pay Range: $20.00 - $25.00 per hour (Depending on experience and qualifications)
