Executive Personal Assistant

Apply here: Executive Personal Assistant to CEO - Kensui Fitness Location: Warsaw, Poland Role type: Full-time Language: English required; Polish strongly preferred About the Role Kensui Fitness is looking for a highly reliable, organized, and proactive Executive Personal Assistant to support the CEO/founder with a mix of business, personal, and lifestyle tasks. This is not a standard office assistant role and not a housekeeping role. It is a trusted support position for a busy entrepreneur, combining executive assistance, personal organization, errands, travel coordination, household coordination, and light business administration. The ideal candidate is practical, discreet, detail-oriented, and comfortable handling many different types of tasks independently. Responsibilities You may help with tasks such as: Managing calendar, appointments, reminders, and follow-ups Booking flights, hotels, restaurants, doctors, events, and tickets Running errands around Warsaw Grocery shopping and basic household shopping Coordinating cleaners, repair people, deliveries, and service providers Hiring and managing a cleaning lady or other household help when needed Light household organization and tidying Basic cooking or meal prep Handling simple business/admin tasks for Kensui Fitness Researching suppliers, services, products, restaurants, travel options, or local vendors Managing receipts, invoices, payments, and simple records Coordinating with employees, freelancers, contractors, or service providers Helping organize documents, files, and day-to-day logistics Deep cleaning will usually be handled by a separate cleaner, but light household support may be part of the role. Requirements Based in Warsaw Fluent or strong English Polish language ability strongly preferred Highly reliable, punctual, and organized Detail-oriented and good at follow-through Comfortable with both business and personal tasks Able to use Google Calendar, Google Sheets, Gmail, WhatsApp, and basic productivity tools Practical problem-solver who can figure things out independently Discreet, trustworthy, and professional Comfortable running errands and coordinating household/lifestyle tasks Previous experience as a personal assistant, executive assistant, office assistant, household manager, hospitality worker, or operations coordinator is a plus Ideal Candidate You are someone who makes life easier for a busy founder. You can take vague instructions, clarify what matters, and get things done without needing constant supervision. You are equally comfortable booking travel, following up with a supplier, organizing a cleaner, preparing a simple spreadsheet, or finding the best local option for an errand. You are proactive, calm, trustworthy, and take pride in being useful. Compensation PLN 10,000–12,000 gross per month , depending on experience, availability, and skill level.
