ACCOUNTING & OFFICE MANAGER

Ocean Springs, MS | $70,000 Annually | Full-Time | Day Shift | In-Person

POSITION SUMMARY

We are seeking an experienced Accounting & Office Manager to oversee accounting operations, payroll, purchasing, invoicing, financial reporting, and general office administration within a manufacturing environment. This position requires a highly organized professional who can manage multiple priorities, maintain accurate financial records, meet critical deadlines, and provide effective leadership to office staff.

ESSENTIAL RESPONSIBILITIES

• Manage day-to-day accounting functions, financial reporting, and month-end and year-end closing activities.
• Process payroll accurately and maintain payroll records, tax filings, and required reporting.
• Oversee accounts receivable, customer invoicing, payment tracking, and related documentation.
• Perform bank reconciliations and maintain accurate financial records.
• Manage purchasing activities, vendor relationships, purchase documentation, and expense reporting.
• Prepare weekly financial and operational reports for management.
• Monitor financial information for accuracy and investigate discrepancies as needed.
• Maintain organized electronic and physical accounting and administrative filing systems.
• Help ensure compliance with company policies, regulatory requirements, and applicable ISO standards.
• Coordinate insurance-related matters and provide administrative support for Environmental, Health & Safety (EH&S) programs.
• Supervise, support, and provide direction to office staff.
• Help establish and maintain efficient administrative and accounting processes.
• Protect confidential employee, payroll, company, and financial information.
• Perform additional accounting and administrative duties as assigned.

QUALIFICATIONS

• High school diploma or equivalent required.
• Associate degree in Accounting, Business, Finance, or a related field preferred.
• 5-7 years of accounting and management experience, preferably within a manufacturing environment.
• Strong hands-on experience with accounting operations, payroll, reconciliations, invoicing, financial reporting, and general office administration.
• Proficiency with Microsoft Office, particularly Excel.
• Experience with Sage or QuickBooks Online preferred.
• Strong analytical, organizational, critical-thinking, and problem-solving abilities.
• Ability to identify discrepancies, research issues, and determine appropriate solutions.
• Ability to prioritize multiple responsibilities and meet competing deadlines.
• Excellent written and verbal communication skills.
• Strong leadership and interpersonal abilities.
• High degree of accuracy, discretion, professionalism, and confidentiality.
