Position Summary Gatsby Florida is seeking a detail-oriented and experienced Accounts Payable Specialist to join our growing accounting team. This position is responsible for managing the full accounts payable process for our commercial real estate portfolio while ensuring vendor compliance, maintaining accurate financial records, and supporting property-level accounting functions, including Common Area Maintenance (CAM) reconciliations. The ideal candidate has experience in commercial real estate or property management accounting, possesses excellent organizational skills, and thrives in a fast-paced, multi-entity environment. Key Responsibilities Process full-cycle accounts payable invoices, including receipt, review, coding, approval routing, and timely payment via check, ACH, and wire. Match invoices to purchase orders, contracts, and lease terms; research and resolve discrepancies with vendors and property managers. Organize, track, and maintain vendor Certificates of Insurance (COIs), proactively monitoring expiration dates and ensuring continuous compliance. Manage the vendor creation and onboarding process, including W-9 collection, 1099 tracking, and maintaining accurate, audit-ready vendor records. Code and post general ledger (GL) entries accurately by property, unit, and expense category across multiple entities. Reconcile vendor statements, AP aging reports, and open invoice registers; assist with month-end and year-end close processes. Support Common Area Maintenance (CAM) reconciliations and expense allocations in accordance with lease terms. Maintain organized electronic and physical accounts payable files in compliance with internal controls and audit requirements. Respond to vendor and internal inquiries regarding invoice status, payment timing, and account discrepancies. Assist with budget variance analysis, accruals, and ad hoc reporting as requested by the accounting team. Partner with property managers, asset managers, and the accounting team to ensure accurate and timely processing of property-related expenses. Perform other critical accounts payable and accounting support duties as needed. Qualifications Minimum of 2 years of accounts payable experience, ideally within commercial real estate, property management, or a related industry. Prior experience with AppFolio is strongly encouraged. Working knowledge of Common Area Maintenance (CAM) charges, lease structures, and commercial property expense allocations. Solid understanding of general ledger (GL) coding and multi-property, multi-entity accounting practices. Proficiency in Microsoft Excel; experience with accounts payable automation or property management software is a plus. Strong attention to detail, organizational skills, and the ability to manage a high volume of invoices with accuracy. Excellent communication skills and the ability to work cross-functionally with vendors, property managers, and internal teams. Ability to meet deadlines in a fast-paced accounting environment.
