Accounts Payable Coordinator

Job Description Accounts Payable Coordinator (2601510) Required Qualifications Bachelor's degree (foreign equivalent or higher) with experience in accounts payable, accounts receivable, and related fields. In lieu of the degree an Associate’s degree with two years of full‑time related experience in accounts payable, accounts receivable, and related fields, or a high‑school diploma/GED with four years of full‑time related experience will be considered. Preferred Qualifications Bachelor's degree (foreign equivalent or higher) in Accounting. IRS 1099 and 1042S tax transactions review and reporting experience. Brief Description of Duties The Stony Brook Foundation (SBF) seeks a motivated self‑starter for its Accounts Payable team. The selected candidate will work independently in a high‑volume, deadline‑driven environment and must effectively and professionally communicate with faculty, staff, and external vendors to complete assignments. This position requires strong communication and math skills. Review SBF payments, including travel vouchers, payment requisitions, and purchase orders for necessary information, funding, GL class codes, and supporting documentation. Determine the appropriateness of each expenditure relative to account purpose, donor intent, disbursement policy and procedures, and current IRS regulations. Batch paperwork for payment input into the accounting system, reconciling payments to ensure accurate balances. Review, audit, and reconcile Foundation 1099 payment transactions based on IRS regulations and accounting principles. Use Excel pivot tables to review data and determine necessary transaction corrections to ensure proper IRS 1099 and 1042 reporting and withholding. Query, analyze, and regularly review Foundation reports related to all payment processes, including budget exceptions, unposted vouchers, unposted payments, payments on hold, recycled vouchers, etc. Obtain administrative authorization on payments from various campus administrators and communicate with campus departments, administrators, and vendors to obtain the documentation needed to complete daily payments. Perform other duties as assigned. Special Notes The Research Foundation of SUNY is a private educational corporation.
