Job Summary:
Our client is seeking a highly organized and professional Executive Assistant to provide critical support to their team. The role requires managing day-to-day administrative tasks, supporting client-facing operations, and maintaining smooth office processes in a fast-paced, compliance-driven environment. Discretion, attention to detail, and familiarity with financial terminology are essential.
Key Responsibilities:
- Manage calendars, schedules, and meetings for team members, including client appointments and internal review sessions.
- Handle phone calls, emails, and correspondence professionally with clients and internal stakeholders.
- Prepare, proofread, and format reports, presentations, and client communications.
- Maintain organized records, including client files, contracts, and compliance documents, both digital and physical.
- Assist with client onboarding and account documentation, ensuring accuracy and regulatory compliance.
- Support preparation for audits, financial reviews, and reporting deadlines.
- Coordinate travel arrangements and logistics for staff and client meetings as needed.
- Order and manage office supplies and equipment.
- Maintain strict confidentiality of sensitive financial and client information.
- Perform other administrative duties as needed to support team efficiency.
Qualifications:
- Bachelors degree required.
- Previous experience in administrative support, preferably in financial services, banking, or investment management.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with financial software a plus.
- Strong organizational and multitasking abilities, with meticulous attention to detail.
- Excellent written and verbal communication skills.
- Ability to work professionally under pressure and meet tight deadlines.
