Accounts Payable Specialist

We are seeking a detail-oriented and experienced Accounts Payable (AP) Specialist to join our client's finance team. In this role, you will manage the full-cycle accounts payable process, ensuring vendor invoices are processed accurately and efficiently. The ideal candidate possesses analytical skills, a mastery of 3-way matching, and extensive experience navigating enterprise resource planning (ERP) systems.

Responsibilities

• Full-Cycle AP Management: Review, verify, and process a high volume of vendor invoices timely and accurately.

• 3-Way Matching: Perform strict 3-way matching by reconciling vendor invoices against purchase orders (POs) and receiving/inventory documentation.

• Discrepancy Resolution: Proactively investigate and resolve any pricing, quantity, or receipt variances by collaborating with procurement, warehouse teams, and vendors.

• ERP Maintenance: Utilize our ERP system to code invoices to correct general ledger (GL) accounts, track payment statuses, and maintain clean vendor masters.

• Payment Cycles: Prepare and execute weekly payment runs via ACH, wire transfers, and checks in accordance with company policies and discount terms.

• Vendor Relations: Serve as the primary point of contact for vendor inquiries, reconciling statement balances and resolving payment disputes professionally.

• Month-End Support: Assist the accounting team with month-end closing activities, including AP accruals and account reconciliations.

Required Qualifications

• Experience: 2 to 5 years of dedicated Accounts Payable experience in a high-volume product or manufacturing environment.

• Technical Skills: Proficient with major ERP systems (e.g., SAP, Oracle, NetSuite, Microsoft Dynamics, or Workday). working knowledge of Microsoft Excel (VLOOKUPs, pivot tables).
