We are looking for a highly organized Legal Secretary to support attorneys with litigation, intellectual property, and administrative matters in Redwood City, California. This position plays a key role in keeping case activity, filings, scheduling, and client communications running smoothly while maintaining accuracy and confidentiality. The ideal candidate brings strong judgment, excellent communication skills, and the ability to manage multiple priorities in a fast-paced legal environment.
Responsibilities:• Submit court filings electronically in state, federal, and appellate venues while ensuring documents meet procedural requirements.
• Maintain calendars for hearings, filing dates, trademark matters, and other critical case milestones to help attorneys stay ahead of deadlines.
• Prepare engagement documents, client correspondence, and other legal support materials with a high level of accuracy and care.
• Arrange logistics for depositions, trials, meetings, travel, and related events, including preparation of agendas and supporting documents.
• Handle attorney admissions, memberships, continuing education records, and required registrations in an organized manner.
• File and track materials with relevant agencies and courts, and keep both physical and digital case records current and accessible.
• Support billing and financial administration by processing expenses, assisting with invoices, and helping reconcile related records.
• Conduct basic legal or business research, summarize findings, and assist with reports, outreach, and other administrative projects as needed.
• Open new matters, assist with conflict review processes, and provide backup coverage for other legal support team members when required.
• At least 5 years of experience in a Legal Administrative Assistant or Legal Secretary capacity.
• Strong working knowledge of court filing procedures, case calendaring, and litigation support practices.
• Experience supporting intellectual property or trademark-related work is highly valued.
• Excellent written and verbal communication skills, including strong grammar, proofreading, and attention to detail in correspondence.
• Advanced organizational skills with the ability to manage sensitive information, shift priorities, and meet tight deadlines.
• Sound judgment and the ability to work independently while maintaining a high level of client service.
• Proficiency with Microsoft Word, Outlook, Excel, PowerPoint, and document management systems.
• An associate’s or bachelor’s degree is preferred.
