Job Description The Events Associate reports to the Events Team Lead and plays a key role in driving event sales while producing elevated, on-brand celebrations for families. This role combines event sales, creative styling, and event execution, with a focus on delivering warm, polished experiences for children's birthday parties and member events. You will host tours, develop event concepts, prepare proposals, close bookings, and help execute beautiful events day-of. Key Responsibilities Event Sales & Client Experience Conduct tours for prospective event clients and communicate Cocoon's offerings clearly and warmly Understand client needs and develop customized event proposals Follow up consistently to convert inquiries into confirmed bookings Recommend thoughtful upgrades (decor, activities, entertainment, styling) to enhance the guest experience Maintain accurate notes and next steps within the events pipeline Event Production & Creative Styling Translate client ideas into cohesive event concepts aligned with Cocoon's aesthetic Prepare simple event layouts and run-of-show plans Curate decor, vendors, and rentals while ensuring insurance, access, and safety requirements are met Assist in creating visual moments such as balloon garlands, activity stations, themed tables, and grazing displays Maintain event décor inventory and styling materials Event Execution & Day-Of Coordination Lead portions of event setup and styling to ensure a polished, photo-ready environment Brief Event Hosts on schedules, responsibilities, and guest experience standards Ensure events run smoothly and on schedule Deliver warm, attentive service to families and guests throughout the event Troubleshoot issues calmly and elevate to the Manager when needed Club Operations Support During non-event hours, assist with front desk and member service operations: Welcome families and manage guest check-in Respond to phone and email inquiries and schedule tours Support membership questions and process POS transactions as needed Maintain front desk presentation, cleanliness, and signage standards Administrative & Team Support Assist with event invoices and vendor coordination Track event payments and flag outstanding balances Support scheduling coordination for Event Hosts under Team Lead guidance Help onboard new events team members and model Cocoon's guest service standards Key Success Factors Meeting monthly event sales and booking targets Strong client satisfaction and positive event feedback Successful upselling of add-ons and styling upgrades Smooth, on-time event execution Positive collaboration with team members Candidate Qualifications 2+ years experience in events, hospitality, retail, or customer-facing roles Strong communication and relationship-building skills Excellent organization and attention to detail Ability to multitask in a fast-paced environment Availability to work weekends and occasional evenings Ideal Candidates Are Warm and hospitality-driven Visually detail-oriented with a strong aesthetic sense Proactive problem-solvers who remain calm under pressure Energized by creating memorable experiences for families Position type: Full Time, in-person Location: Cocoon Tribeca Schedule: Monday, Thursday and Friday: 9:30 AM - 5:30 PM Saturday- Sunday: 11:30 AM - 7:30 PM (Flexibility required for events) Compensation: $64,000/year Performance Bonus: Up to 5% of base salary ($3,200) based on achievement of defined sales and operational KPIs.
