Clinic Manager

Location: The Fix Wellness Lounge — Hermosa Beach, California Reports To: Chief Operating Officer and Founder/CEO Position Type: Full-Time, On-Site Classification: Hourly, Nonexempt Compensation: $40 per hour Schedule: 40 hours per week, on-site position. The schedule may include some weekend hours based on clinic needs. Occasional participation in special events, training programs, marketing initiatives, and industry conferences is required. Travel: Occasional travel may be required for approved conferences or business events. Required business travel and eligible expenses will be compensated or reimbursed in accordance with company policy and applicable law. Position Summary The Clinic Manager is responsible for overseeing the daily operations of The Fix Wellness Lounge and ensuring that all clinical, administrative, and patient-facing functions operate smoothly, efficiently, and profitably. Reporting directly to the COO and Founder/CEO, the Clinic Manager serves as the day-to-day operational leader of the clinic. This hands-on position supervises staff, supports practitioners, optimizes patient flow, maintains clinical and brand standards, monitors business performance, and ensures every patient receives an exceptional experience. The ideal candidate has healthcare or wellness management experience and a strong understanding of patient care delivery, clinical workflows, staff leadership, scheduling, EHR systems, financial operations, and regulatory compliance. Key Responsibilities Clinic Operations Oversee daily clinic operations to ensure efficient, compliant, and profitable performance. Maintain consistent standards across clinical, administrative, and patient-facing departments. Support the COO in developing and maintaining schedules for practitioners, practitioner assistants, technicians, front-office personnel, and support staff. Ensure appropriate staffing coverage based on patient volume, practitioner schedules, operational needs, and business priorities. Review appointment requests and optimize schedules for patient access, practitioner productivity, and clinic profitability. Monitor patient flow, room utilization, wait times, treatment transitions, and daily clinic readiness. Identify operational challenges and implement solutions that improve patient experience, team productivity, and business performance. Collaborate with the COO on operational planning, clinic growth, and continuous improvement initiatives. Ensure treatment rooms, equipment, retail displays, reception areas, and common spaces consistently reflect The Fix Wellness Lounge’s elevated brand standards. Support the COO in coordinating staff training sessions, team meetings, marketing events, conferences, and other operational initiatives. Patient Experience and Clinical Coordination Ensure every patient receives a personalized, welcoming, and concierge-level experience. Monitor patient satisfaction and proactively address questions, concerns, and service issues. Maintain efficient scheduling and patient flow to minimize wait times and maximize practitioner productivity. Support practitioners in coordinating patient care plans and operational requirements across departments. Promote clear communication among patients, practitioners, technicians, and administrative staff. Help maintain seamless patient care pathways across chiropractic care, regenerative medicine, functional wellness, nutrition, rehabilitation, recovery services, biohacking technologies, and performance optimization. EHR and Compliance Oversee the daily use of the Electronic Health Record (EHR) and practice management system. Ensure accurate, efficient, compliant, and consistent system use by practitioners and staff. Confirm that patient intake forms, medical histories, informed consents, waivers, HIPAA documentation, and required clinical records are complete. Monitor documentation and internal communication to support continuity of patient care. Ensure compliance with HIPAA, OSHA, applicable state regulations, company policies, safety requirements, and healthcare standards. Support staff training related to documentation, privacy, safety, and regulatory compliance. Ensure practitioners have the staffing, scheduling support, equipment, supplies, treatment rooms, and operational resources needed to provide exceptional care. Support practitioner scheduling to maximize patient access and operational efficiency. Assist with onboarding and integrating new practitioners. Provide administrative and operational support for practitioner-directed care plans while ensuring that all clinical decisions remain within the authority and scope of practice of the appropriate licensed provider. Staff Leadership and Management The Clinic Manager directly supervises clinical technicians, front-office team members, and other clinical or administrative support staff as assigned. Responsibilities include: Supporting employee onboarding and training Assisting the COO with staff scheduling and coverage Coaching, mentoring, and employee development Establishing clear expectations and maintaining accountability Collaborating with the CEO and COO on performance evaluations and ongoing feedback Addressing attendance, performance, and workplace concerns Managing conflict professionally and constructively Promoting teamwork, engagement, and effective communication Building a positive, professional, and service-oriented culture Reinforcing The Fix Wellness Lounge’s mission, values, and service standards Financial and Membership Oversight Partner with the COO to support clinic revenue goals and operational objectives. Oversee the accuracy of service charges, patient payments, membership billing, package utilization, and daily reconciliation. Ensure billing, payment collection, membership processing, and package tracking are completed accurately. Oversee membership enrollment, renewals, billing Inventory and Facility Oversight Support the Director of Nutrition and COO with inventory management and purchasing. Monitor inventory levels and maintain accurate records. Coordinate routine equipment maintenance and promptly elevate repair or safety concerns. Required Qualifications Three to five years of progressive management experience in a chiropractic practice, multidisciplinary medical clinic, physical therapy practice, sports medicine facility, regenerative or functional medicine practice, wellness center, or similar healthcare environment. Experience leading clinical or patient-facing teams and managing daily healthcare operations. Strong understanding of patient care workflows and multidisciplinary clinical environments. Working knowledge of anatomy, physiology, musculoskeletal health, chiropractic care, rehabilitation, functional wellness, recovery therapies, or biohacking technologies. Experience using EHR and healthcare practice management systems. Experience with staff scheduling, patient flow, operational reporting, payment processing, and financial oversight. Strong leadership, organization, communication, and problem-solving skills. Exceptional attention to detail and the ability to manage multiple priorities. Ability to remain professional and composed in a fast-paced, patient-facing environment. Ability to work 40 hours per week with schedule flexibility, including occasional weekends, special events, and conferences. Preferred Qualifications Bachelor’s degree in Healthcare Administration, Business Management, Exercise Science, Kinesiology, Nursing, Public Health, or a related field. Clinical license, healthcare certification, or relevant clinical training. Experience in concierge healthcare, luxury wellness, chiropractic care, regenerative medicine, sports performance, rehabilitation, or functional medicine. Experience managing a membership-based healthcare or wellness business. Knowledge of retail operations, inventory management, healthcare compliance, and KPI reporting. Experience launching new programs, services, technologies, or treatment protocols. Physical Requirements The employee must be able to perform the essential functions of the position, with or without reasonable accommodation. Essential functions may include remaining mobile throughout the clinic, operating standard office and practice-management equipment, assisting with daily clinic readiness, and occasionally moving or lifting items weighing up to 30 pounds.
