Position Summary

Represents the residence in a professional, pleasant, courteous and accommodating manner to the community and general public. Responsible for meeting and greeting all visitors to the residence and directing them to the appropriate person/area. Directs all incoming phone calls to the appropriate party and performs other clerical duties such as filing, typing, mail sorting, etc.

Education/Experience: Knowledge of basic telephone reception systems and techniques helpful. Possesses the ability to handle all incoming phone calls and visitors in a pleasant and courteous manner, provide clerical support and represent the residence in a professional manner is required. The ability to respond calmly to emergency situations is essential. A high school diploma or GED is preferred.

Job Description

Front Desk Responsibilities

• Handles all incoming telephone calls in a professional and courteous manner directing to the appropriate person/department
• Greets guests and visitors in a professional and courteous manner and directs guests and visitors to the appropriate person/department
• Coordinates front desk activities
• Communicates with co-workers verbally, through the communication log book, and email
• Ability to respond calmly in emergency situations
• Responds to resident requests in a kind and courteous manner
• Sorts mail as needed and directs all mail forwarding to appropriate address
• Supports The Herrick House Executive Director and management team as directed
• Completes new resident welcome packets
• Assists the Director of Business Services with special projects as assigned

Filing Responsibilities

• Files all check requests and vendor invoices
• Conducts periodic review of vendor files ensuring invoices are being filed in correct folders as directed
• Files appropriate documentation in order in each of the residents' financial folders
• Conducts periodic reviews of the residents' financial files ensuring all documentation is being filed in the correct areas as directed

Cash Deposits/Receipts

• Monitors petty cash balance held at reception desk
• Maintains and posts guest meal tickets
• Takes direction from Director of Business Services in completing the process of cash deposits

Pay Range: $15.00 - $20.25

The pay range listed for this position is the base hourly wage range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law. Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime pay, and other additional pay practices, as applicable to the position and in accordance with the law.
