Program Coordinator

The CEO & Family Enterprise Center (the Center) is a membership organization that works with both family and privately held New Hampshire businesses. Through three main membership programs; the Center for Family Business, The CEO Speaker Series, and CEO Peer Groups. Each of these three programs are revenue drivers for the Center and each is centered around a September to May monthly calendar of programs. Given that among these three programs, the Center has a potential to be executing up to seven programs/meetings a month, timely and determined coordination is absolutely necessary. The Center organizational structure works best when there is a strong Program Coordinator on the team who assists with the coordination and execution of our monthly programs, contributes to the on-going membership and sponsorship engagement, and collaboratively guides the external relations of the Center through public relations and other viable campaigns. Duties and Responsibilities The Program Coordinator should be enthusiastic about New Hampshire businesses, have a problem-solving approach, a strong sense of task management and overall be interested in a job that has a great deal of variety. Ideally, the program coordinator is an individual who is self‑motivated, thrives on working independently and is comfortable in the business sector. Ultimately, the program coordinator position is a vital part of a small collaborative‑minded team. This position calls for strong project management and organizational skills. The program coordinator should be able to manage multiple pieces of program coordination simultaneously and be comfortable with making timely decisions and moving projects forward. The position interacts through formal and informal communications with New Hampshire’s business community and therefore will benefit from strong interpersonal skills. This position is based on project management completion; therefore it is flex time based and a remote work environment. Hours worked per week depending on project management needs. Typical average number of hours will be between 10-15 hours a week, depending on program schedule. Programs The Center’s program year runs from September to May, and in that time, we run programs and meetings among our three memberships. Work with presenters on all details toward the on-site program production, including: Creation of flier marketing pieces. Coordinate all needed logistics with the event location, including timing, food, AV. Coordinate with the administrative assistant on all registration and signage needs. Set up all meetings with speaker, including logistics call two to three weeks out from the programs for both the CEO Speaker Series and the Family Business programs. Coordinate with the administrative assistant on any sponsor needs, including ensuring all sponsors have current logos. Create and manage a calendaring tool for all registrations. Support stellar member engagement on site from greeting, anticipating needs and assuring a positive overall experience. Create system to thank and recognize every speaker, including sharing of photos and posting updates on website and social media. Marketing & Communications Work with the administrative coordinator on the Center’s regular communications with the memberships; including bi-weekly eblasts. Regarding the eblasts, find content of interest to both the CEO and Family Business memberships, relay necessary information on Center programs and activities and provide writing to support both. Collect any relevant member news updates. Create regular member features, including Member Spotlights news for eblasts. Manage program fliers by coordinating information between the featured speakers and our graphic designer for a finished product. Promote upcoming events through the website, the eblasts and social media and seek and advise on additional channels for public awareness. Update website photos regularly. Membership Engagement Be a strong representative of the Center with the membership and sponsors in all facets, both in person and through regular communication. Lead the team on creative membership engagement tactics for regular eblasts. Handle all prospect inquiries and membership information requests. Create thank you letters for membership and sponsorship renewals and coordinate with administrative assistant on distribution. Work with team to create an online resource library from presenters and other relevant sources. Lead effort to create online requests to present form, for interested parties. Join in team effort to update and digitalize all forms and intake needs. Requirements Bachelor’s + and the equivalent of 5-8 years’ experience in project management and/or business relations experience; membership engagement experience is a plus. The position is remote based, except onsite presence is required at the Center’s program meeting days, roughly ten half days in the academic year.
