Admin Assistant

Impact Climate Technologies

Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and ensure the team runs efficiently. This role will provide administrative support to leadership and staff through scheduling, communication coordination, data entry, document management, and general office assistance. The ideal candidate is proactive, professional, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
  • Manage calendars, schedule meetings, and coordinate appointments
  • Answer phone calls, emails, and direct inquiries appropriately
  • Maintain organized digital and physical filing systems
  • Prepare reports, spreadsheets, presentations, and other documents
  • Assist with data entry and record maintenance
  • Coordinate office supplies and place orders as needed
  • Support onboarding activities and prepare new hire materials
  • Assist with travel arrangements, expense reports, and meeting logistics
  • Provide general administrative support to leadership and internal teams
  • Help maintain office organization and day-to-day operational efficiency
Qualifications
  • 1-3+ years of administrative, office support, or customer service experience preferred
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to prioritize tasks and meet deadlines
  • Professional demeanor and strong attention to detail
  • Experience with scheduling, data entry, and document management preferred
  • Ability to handle confidential information professionally
  • High school diploma required; associate's or bachelor's degree preferred
