Position Description Seattle University’s Information Technology Services seeks an organized, collaborative, and service-oriented Change Management Coordinator in a project-based role to provide administrative support for the Workday Project. The position will assist project managers and team members with training administration, communications, documentation, task tracking, meetings, and user support. The role is designed for an early-career professional who is comfortable following established processes, managing details, and learning in a dynamic project environment. The Workday implementation is already underway, and this position will support implementation, stabilization, and future project milestones. This is a project-based role, and employment is contingent upon project needs, which are currently expected to continue through approximately April 30, 2027. Change Management Administrative Support Maintain calendars, task lists, deliverable trackers, meeting materials, and shared documentation. Track assigned deadlines, action items, dependencies, and outstanding information; follow up as requested. Prepare agendas, capture meeting notes, organize project information, and document decisions and next steps. Escalate delays, missing information, or coordination needs to the appropriate resource. Support coordination across change management, functional, technical, service desk, and campus teams. Internal Training Coordination Serve as the lead coordinator for internal project-resource training, including Workday Community Product Administrator training. Manage training requests, enroll participants in courses, and communicate participation requirements and costs. Coordinate hybrid logistics for on-campus training sessions and help participants understand how to engage effectively. Monitor the organization’s training credit balance, identify when additional credits may be needed, and maintain accurate records of credit use and purchases. Use training coordinator dashboards and related tools to track approvals, registrations, completions, and other training activity. Consult with project leaders on training requests, best practices, and efficient use of available credits. Communications, Documentation, and Project Support Assist with drafting and distributing routine communications, training notices, updates, and deadline reminders. Support the preparation, review, publication, and maintenance of user guides, knowledge articles, presentations, website content, and other change management efforts. Help organize Workday-related service tickets and user requests, track follow-up, and route issues to the appropriate resource. Maintain accurate records, shared files, training participation data, and routine status updates. Facilitate or co-facilitate meetings, office hours, training sessions, or other project activities as assigned. Complete other related change management coordination and administrative duties as assigned. Bachelor’s degree or equivalent combination of education and experience; graduating students and recent graduates are encouraged to apply. Experience supporting projects, programs, training, communications, documentation, customer service, or administrative work in an academic, professional, or community setting. Strong organizational skills, attention to detail, and ability to manage multiple assigned priorities. Clear written, verbal, and interpersonal communication skills. Ability to work collaboratively with technical and nontechnical colleagues and to follow established processes. Comfort learning and using project management, collaboration, documentation, ticketing, and productivity tools. All positions at Seattle University require a criminal history background check. Preferred Qualifications Experience working in higher education or a similarly complex organization. Experience supporting an enterprise system implementation such as Workday. Experience coordinating registrations, training logistics, events, or record keeping. Compensation at a Glance $31.79 per hour - $34.36 per hour Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.
