Job Title Unit Secretary Oncology Nursing Unit

Reports To Director, Assistant Director or Charge Nurse

Position Summary The Unit Secretary provides clerical, receptionist, and administrative support for the oncology nursing unit,

This role plays a vital part in facilitating effective communication, coordinating non-clinical unit operations, and supporting nursing staff, patients, families, and visitors to ensure the delivery of compassionate, timely care in a specialized oncology setting,

Key Responsibilities

Greet and assist patients, families, visitors, and staff in a courteous and professional manner,

Answer unit telephone calls promptly, direct calls appropriately, take and relay messages accurately,

Maintain patient records by organizing charts, filing reports, and ensuring documentation is complete and up to date,

Coordinate patient admissions, transfers, and discharges in the electronic health record system,

Order and maintain unit supplies and forms to ensure smooth daily operations,

Support nursing staff by preparing, copying, scanning, and distributing documents as needed,

Communicate with other hospital departments to arrange diagnostic tests, treatments, or transport services,

Maintain confidentiality of patient and unit information according to HIPAA and hospital policies,

Participate in unit meetings and training as required,

Perform other related clerical duties as assigned to support the oncology unit s goals,

Required Qualifications

High school diploma or equivalent,

Previous experience as a unit secretary, medical secretary, or in a similar clerical healthcare role preferred,

Basic knowledge of medical terminology,

Proficiency in using computers, EHR systems, and standard office equipment,

Excellent communication, organization, and customer service skills,

Ability to multitask in a fast-paced oncology care environment,

Strong attention to detail and commitment to confidentiality,

Working Conditions

Works in a clinical unit setting with frequent interactions with patients, families, nurses, physicians, and other healthcare team members,

May be exposed to emotionally stressful situations related to oncology patient care,

Physical Requirements

Ability to sit, stand, and walk for extended periods,

Frequent use of computers, telephone and other office equipment,

Occasional lifting of light supplies or equipment
