Job Full Description

The Office Manager / Sales Coordinator is responsible for overseeing daily office operations while supporting sales activities to ensure excellent customer service, efficient administration, and business growth. This role manages office procedures, customer communications, sales tracking, scheduling, and administrative support to help achieve company objectives.

Key Responsibilities

Office Management

• Manage daily office operations and administrative functions.
• Maintain office supplies, equipment, and vendor relationships.
• Organize and maintain files, records, and databases.
• Coordinate schedules, meetings, and appointments.
• Prepare reports, correspondence, and other business documents.
• Ensure compliance with company policies and procedures.
• Handle incoming calls, emails, and customer inquiries.

Sales Support

• Assist with customer sales inquiries and product/service information.
• Prepare quotes, proposals, contracts, and sales documentation.
• Process customer orders and track order fulfillment.
• Maintain customer and prospect information within CRM systems.
• Follow up on leads, quotes, and customer requests.
• Support sales campaigns and marketing initiatives.
• Monitor sales performance and prepare sales reports.

Customer Service

• Build and maintain positive customer relationships.
• Resolve customer concerns and escalate issues when necessary.
• Ensure a high level of customer satisfaction and retention.
• Coordinate with operations and service teams to meet customer expectations.

Financial & Administrative Duties

• Process invoices, payments, and receipts.
• Assist with budgeting and expense tracking.
• Maintain accurate records and reports.
• Support payroll and human resource administrative functions as needed.

Qualifications

• High school diploma or GED required; associate or bachelor's degree preferred.
• 2+ years of office administration and/or sales experience preferred.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
• Experience with CRM and office management software preferred.
• Strong organizational and time-management skills.
• Excellent written and verbal communication abilities.
• Ability to multitask and work independently.
• Strong attention to detail and problem-solving skills.
